Description:
Coordinate all operational objectives related to events at Yankee Stadium, including, but not limited to, acting as a liaison with Stadium Operations, client site visits, vendor relations and supervising events within the venue to meet contractual obligations and while meeting the highest quality customer service standards.
Primary Responsibilities:
• Handles initial client contact with the Events Department including, but not limited to, vetting event inquiries and leads, client site visits, creating detailed sales proposals through booking of the event
• Acts as client main point of contact following booking of the event for all internal operational needs
• Obtains final date clearance from Stadium Operations
• Assists in creating event contracts and invoices as needed
• Tracks and processes all deposits and monies
• Creates Banquet Event Order Request and final menu details with Legends Hospitality
• Compiles all logistical information related to the event including, but not limited to, load in, set up, execution and load out for Stadium Operations while adhering to all guidelines
• Communicates and gathers insurance requirements and waivers from clients prior to event
• Prepares a detailed overview of the event and distributes to all parties involved with running the event
• Works with event vendors on required information and documents for executing in Stadium
• Finalizes all details for the event with the client in advance of the event
• Ensures that setup of chairs, tables, decorations or other equipment is in accordance with the requirements of the event contract
• On site at events as the Yankees' client liaison
• Attends each event demonstrating a continuous effort and commitment to provide a quality event and client experience
• Resolves any and all problems or complaints that may arise
• Answers the main department phone line, checks messages and distributes accordingly
• Compiles and distribute leads through the departmental email in-box
• Coordinates Department's internal needs for game day giveaways falling on event days
• Assists with Department's financial tracking, inputting events, expected revenue and operating costs
• Assists Department in execution of Yankee Stadium Events Programs and large Stadium-wide events including the New Era Pinstripe Bowl
• Other duties, as assigned
Qualifications and Experience:
• 1-3 years of experience professionally coordinating a variety of events and activities at a convention center, hotel or other large public facility
• Exceptional computer skills including Microsoft Excel, Microsoft Word, PowerPoint and Outlook
• High level of client interaction requiring clear written and verbal communication skills, exceptional interpersonal skills, problem solver, team player, flexible, self-starter, positive outlook and high energy level
• Requires continual attention to detail and high level of organization
• Job will require working nights and weekends, as well as ability to work in an outside stadium environment
