POSTION SUMMARY
The Executive Assistant provides high-level, confidential support to EVP, Global Communications and the Chief Marketing Officer. This role manages day-to-day operations, ensures alignment across priorities, and supports execution of key initiatives.
You will manage complex schedules, coordinate meetings and communications, and support leadership engagement with internal and external stakeholders. You will also be a partner across teams to keep work moving and ensure follow-through.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Executive Support
• Manage complex calendars, meetings, and travel across multiple priorities
• Anticipate conflicts and adjust schedules to align with business needs
• Serve as a point of contact for internal and external stakeholders
• Handle sensitive information with discretion
Meeting and Board Support
• Coordinate executive meetings, agendas, and materials
• Capture notes, track action items, and ensure follow-up
• Support Board-related logistics and communications as needed
Communications Management
• Manage inbox flow, prioritize requests, and ensure timely responses
• Draft and edit communications on behalf of leadership
• Coordinate across teams to ensure alignment on priorities
Project and Event Support
• Support strategic initiatives led by Global Communications and Marketing
• Assist with planning and execution of executive events and engagements
• Coordinate travel, logistics, and materials for high-profile meetings
Operations and Process Management
• Improve workflows to increase efficiency across executive operations
• Maintain tracking systems, documents, and records
• Complete expense reports and support vendor coordination
KNOWLEDGE, SKILLS & ABILITIES
5-7 years of experience and a strong understanding of executive operations and C-suite support
High attention to detail with strong organization and time management
Ability to prioritize competing demands and shift quickly as priorities change
Clear, professional written and verbal communication
Strong judgment and discretion when handling sensitive information
Ability to anticipate needs and act with limited direction
Proficiency in Microsoft Office, calendar management, and virtual meeting tools
Experience coordinating across teams and managing stakeholders
Ability to manage projects, track deliverables, and ensure follow-through
Strong problem-solving skills with a solutions-oriented mindset
Ability to build relationships and work effectively across all levels of the organization
Comfort supporting high-profile executives in fast-paced environments
