We are seeking an individual to provide mission-critical support to the Netflix VFX department. A successful candidate will be: self-motivated, proactive, quick-thinking, flexible, able to pivot when necessary, thorough and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and an unwavering attention to detail at all times. This is a demanding and fast moving position that requires someone who is a proactive and positive thinker, and able to exercise good judgment and initiative.
This individual will be responsible for supporting the Director, Visual Effects - Worldwide and the Netflix Visual Effects Department as a whole, we require a confident individual with experience in both physical production and administration. Responsibilities in this role will include calendar management, international travel arrangements, correspondence, rolling calls, expense reporting, liaising with high-level stakeholders, personal duties related to executive and VFX staff support, and general administration. Strong communication and organizational abilities are key.
RESPONSIBILITIES & DUTIES:
• Coordinates schedules, external and internal meetings and travel arrangements as required for the Director VFX WW and other key department individuals as needed.
• Exceptional organizational, planning and interpersonal skills combined with a very proactive and dedicated work ethic.
• Manage the Director VFX WW's monthly expenses and complete expense reports on their behalf; and execute the same for other department individuals as needed.
• Field daily internal requests and facilitate communication between various departments within the company.
• Field daily requests from outside vendors & individuals, associations, and groups which whom the Director and Department frequently contact.
• Ability to ensure clear, concise and accurate correspondence and notes.
• Ability to plan and respond to executive meetings, Studio, and client needs.
• Ability to manage priorities, enhance efficiencies and respond to changes.
• Monitors and tracks actions and status on items.
• Ensures clear and effective communication updates.
• Updates and maintains Director and Departmental files.
• Ensures thoroughness in accomplishing both large and small tasks.
• Facilitate Administration and Production meetings and, if required, prepare material before the meetings and follow up with the attendees.
• Carry out clerical duties such as preparing emails, scanning and sending documents, and contracts as required.
QUALIFICATIONS:
• 2-4 years experience as an Executive Assistant, Production Assistant, or Assistant VFX/Production Coordinator.
• Bachelor's Degree from an accredited university.
• Extensive travel and calendar management.
• Extensive administration abilities including research and compiling data and meeting materials, coordinating business dinners, creating itineraries and agendas.
• Ability to establish and follow best practices for all file organization and administrative procedures.
• Computer literacy/proficiency with Google Suite and Drive is essential.
• Exceptional verbal and written communication skills.
• Excellent research and analytical skills.
• Strong attention to detail & interpersonal skills.
• Ideal candidate will have a basic understanding of film & television production, physical production, and Visual Effects.
• Previous experience at a Studio is ideal.
• Effective business email etiquette and letter writing skills.
• Handles pressure and multitasking in a calm manner.
