The Role
Executive Assistants are critical to supporting our high-performing teams. Our Executive Assistants are highly impactful and stunning in their craft. They ensure the success of our leaders with their operational and administrative wizardry and proactively future-proof solutions by anticipating needs. The ideal candidates will be passionate about the content we create and enthusiastic about the impact they can make by contributing meaningfully to support the success of these teams.
Responsibilities include, but are not limited to:
• Proactive management of calendars for the leader and their team, including scheduling internal and external meetings
• Booking necessary domestic and international travel, often multi-destination trips, while optimizing for efficiency and productivity for the executive and business
• Book, manage, and coordinate logistics for team meetings, events, and off-sites
• Leveraging proficiency in Google Suite tools for presentations and memos
• Accurately capture and document meeting minutes and decisions made in meetings
• Processing extensive expense reports in a timely manner
Qualifications:
• 7+ years of experience in an Executive Assistant capacity supporting senior leaders, ideally in similar industries of media, tech, consulting
• Proficiency in Google: Gmail, Google Calendar, Google Docs, Google Sheets, Google Groups is a must
• Experience supporting domestic and international travel and reconciling expenses
• Experience supporting senior leaders with a global team and cross-functional stakeholders is a plus
• Responsive and able to work flexibly across multiple time zones
• Independent worker with strong organizational skills and the ability to prioritize and balance multiple projects and switch easily between tasks
• Displays professionalism in communication with internal and external partners
• Ability to be discreet and maintain confidential information
• Strong written and verbal communication skills
• Strong judgment and ability to make decisions quickly
• Strong attention to detail at all times
• Team player who operates in a fast-paced, team-oriented setting
• Able to stay calm under pressure and work on short deadlines
• Tech-savvy with an ability to lean into new technology and tools is a huge plus
