Administrative Assistant, PVMT (Post Production, VFX, Music & Technology), UK (Fixed Term Contract)
The role
Netflix is seeking a motivated and collaborative administrative assistant to support the Director of the UK Post Management, VFX, Music & Technology team. As part of this role, this Director also co-leads the UK Production Org alongside a colleague focussed on Production Management. Therefore, this assistant will need to have first-rate organisational skills, proactivity, excellent attention to detail and a positive attitude. The ideal candidate is also passionate about content production and technology, with a basic working knowledge of Post Production processes and the UK vendor landscape.
This is a demanding and fast-moving position that requires someone resourceful and adaptable, who can maintain a positive and calm demeanour under pressure. Be ready to juggle balls and spin plates as you'll be expected to multitask and balance the needs of multiple people and deadlines - with the highest levels of thoughtfulness and detail. There will be a lot of autonomy in this role where initiative, excellent judgement and a passion to support people will be essential to success. This is an exciting opportunity to gain insight across various sub groups and visibility of the overall UK strategy.
Specific responsibilities include, but are not limited to:
• Extensive scheduling duties requiring diplomacy and good judgement
• A clear understanding of the wider business and team goals in order to help support the Director as effectively as possible
• Maintaining databases and trackers for the Director - knowledge of Airtable a bonus
• Coordinating travel, both domestically and internationally
• Helping organise team-building activities and industry networking events
• Effective and purposeful note-taking in key meetings
• Create, prepare and circulate communications such as emails, agendas, presentation decks, survey charts, etc
• Maintaining org charts and email distribution groups
• Processing expense reports in a timely manner for the Director
• Awareness of GDPR and adherence to regulations in any data collection
• Cross checking or proof reading important documents or schedules
• Assisting with the onboarding of new hires
• Tracking special occasions within the team and organising as appropriate - for example, team birthday cards, supplier seasonal gifts as agreed, etc
Person specification:
• 5 years in an a heavily administrative role in a fast paced and demanding environment
• Proven organisational and planning skills
• Strong time management and multitasking ability in order to handle a very active desk
• Understanding of how to prioritise and respond accordingly
• Confident interpersonal skills and emotional intelligence, to build relationships and collaborate across a wide variety of personalities and levels of seniority
• Clear and concise written and verbal communication skills
• Team-player who operates in a dynamic and collaborative team-oriented setting
• Ability to be discrete and maintain confidential information
• Proficiency in the Google Suite of apps (Drive, Docs, Sheets, Slides, GMail, Forms and Calendar) as well as Airtable and Coda
• Tech savvy and comfortable in a complex technical or digital environment
• Working knowledge of the processes of production/post is advantageous
• Ability to respond after hours for important, timely or urgent matters
