This is a Full Time Job
Role Purpose
The Administrative Coordinator will report to the Vice President, Music Business and Legal Affairs and broadly support the Music Business & Legal Affairs team with an emphasis in Universal Studio Group. This position does not include any creative responsibilities with respect to consulting on music placement in productions.
Job Duties
Provide complete administrative support for the team, including but not limited to the following tasks:
• Accurately process and record a large volume of payments in a timely manner
• Reconcile payment discrepancies and resolve any issues promptly
• Obtain, review, and verify necessary documents for payment processing
• Maintain organized and up-to-date records of all transactions and vendor documents
• Facilitate the onboarding process for new vendors, including collecting and verifying required information
• Communicate with vendors to resolve any setup issues and ensure a smooth onboarding experience
• Create and maintain detailed tracking, cost status reports, and other documents
• Perform general office duties such as filing, data entry, and managing correspondence
• Assist with scheduling meetings and appointments, including coordinating logistics
• Process expense reports and ensure timely reimbursement
• Participate in process improvement initiatives and contribute to the development of best practices
• Perform other related duties in support of the department, as requested by management
Qualifications
Basic Requirements
• Minimum 3 years of administrative/finance/accounting experience
• Prior experience at a music or film/TV production company, or an entertainment law firm preferred
• Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
Desired Characteristics
• Bachelor’s degree
• Knowledge of music business/legal terminology
• Prior experience supporting a senior-level executive
• Ability to multitask and work in a high-speed, high-stress office

This position has been designated as hybrid, generally contributing from the Universal City, CA office a minimum of three days per week
