This is a Full Time Job
The Administrative Assistant will play a key role in supporting a dynamic group of attorneys within the overall Universal Television Entertainment Legal Affairs team. This role provides administrative support to a fast-paced legal team, requiring exceptional organizational skills, attention to detail, and clear communication.
Responsibilities:
• Maintain strict confidentiality and professionalism along with a positive attitude
• Proactively anticipate attorneys’ needs
• Regularly schedule calls and meetings involving multiple stakeholders
• Maintain and update attorney’s schedules and calendars
• Demonstrate adaptability and flexibility in routinely rescheduling calls and meetings
• Accurately process and track legal work, including uploading documents into various databases and management systems and updating status and tracking reports
• Assist with internal communications with staff and the broader Legal organization
• Arrange travel and accommodations, including comprehensive and detailed itineraries
• Process travel expenses and reimbursements and keep accurate and timely expense account records; prepare and process expense reports and reconciliations in accordance with Company policy guidelines
• Arrange complex logistics for multiple-attendee and multiple-location meetings (including Telepresence and slide presentation set-ups)
• Answer phones professionally, take messages as required, and promptly pick up and deliver voicemails to attorneys
• Manage and update listservs and distribution lists
• Process outside counsel and other legal-related invoices
• Handle general office and administrative tasks, including the ordering of miscellaneous supplies
• Manage administrative aspects of special projects as designated
• Regularly interact with internal business and creative clients and legal department contacts (including executives), as well as outside counter-parties (e.g., talent attorneys and agents, production company counsel)
• Provide backup for other assistants on the team
Qualifications
Basic Requirements:
• Demonstrated high-level proficiency in Microsoft Word, Excel, PowerPoint, Adobe, Dropbox, and Outlook
• College degree or High School/GED and comparable work experience
Desired Characteristics
• Demonstrated interest in media industry or legal field
• Ability to maintain a positive attitude and demonstrate ability to be flexible in a rapidly changing business environment
• Superior organizational and administrative skills, with the ability to multitask and prioritize work for multiple attorneys simultaneously
• Exceptional interpersonal and communication skills, including a professional phone manner and in-person presence; experience as a team player; ability to develop and maintain good working relationships with numerous executive assistants and other individuals across the company
• Excellent attention to detail and willingness to take initiative
• Solid document organization skills including the ability to quickly and accurately file and keep records
• Advanced computer skills and demonstrated ability to quickly learn and adapt to new programs and technologies
• Previous administrative support experience preferred
Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week. Beginning January 5, 2026, hybrid employees will be required to work from the office a minimum of four days per week.
