The Executive Assistant to the Chief Business Officer for NBCUniversal Entertainment is a dynamic and insightful individual that operates as a self-starter and will leverage their strong critical thinking and interpersonal skills to liaison with staff, senior leaders, and externally to provide support with the goal of increasing the effectiveness and productivity of the executive.
This individual will need excellent organizational & communication skills and a highly collaborative style to provide support such as calendaring, meeting planning & coordination, travel administration, and project updates. This individual will need a proactive approach to assist the executive with overseeing some day-to-day business activities as they may arise.
Essential Responsibilities
• Calendar: Support the Executive’s calendar, pro-actively identifying conflicts and resolving as needed
• Meetings: Schedule meetings, coordinating with other assistants as needed. Manage meeting agendas, booking conference rooms, handling logistics as needed (directions, parking, meals, IT support, etc)
• Travel and Expenses: Responsible for booking travel and for submitting and reconciling expenses to ensure all are submitted on time
• Maintain a high degree of confidentiality and discretion regarding all matters and documents.
• Manage additional office duties such as supplies, mail, and IT support
Qualifications
• Prior experience working in an administrative capacity, preferably at a studio, agency, or management company, including experience in handling heavy call and meeting volume, appointment scheduling and travel coordination
• Minimum 2 years of demonstrated successful organizational skills and the ability to prioritize in an Assistant role
• Experience and demonstrated ability in Outlook, Microsoft Word, Excel, PowerPoint, and SharePoint

• Knowledge of the film and tv industries
• Able to establish and maintain good working relationships broadly
• High degree of professionalism and the ability to interface well with Senior Level management
• Extreme attention to detail and organizational skills
• Ability to multi-task and prioritize in a fast-paced environment
• Strong sense of urgency
• Impeccable communication skills and the contextual understanding necessary to assess a high volume of scheduling requests efficiently
• Experience with and/or the ability to successfully work in a multi-assistant office
• Able to remain calm under pressure
Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
