Role Overview:
The Executive Assistant will support NBCUniversal’s Chief Data Officer within the Decision Sciences team. The role requires exceptional organization and problem-solving skills, with a focus on managing the CDO's schedule, handling communications, and overseeing various administrative tasks. Key responsibilities include:
What You’ll Do:
• Calendar & Schedule Management: Coordinate and manage the CDO’s daily schedule, travel arrangements, and meetings (internal and external), ensuring flexibility for changing priorities.
• Communication & Liaison: Serve as the first point of contact for communication, prioritizing requests and facilitating smooth interactions between the CDO and senior management.
• Meeting & Event Coordination: Schedule meetings and events, manage AV and telepresence logistics, prepare materials, and coordinate refreshments when necessary.
• Document & File Management: Maintain department files, including document systems and project management tools, ensuring records are well-organized and up-to-date.
• Office Administration: Manage general office tasks such as ordering supplies, handling deliveries, and maintaining memberships and subscriptions.
• Project Management & Special Assignments: Assist with special projects and provide backup support for other assistants, coordinating with global Executive Assistants when required.
• Confidentiality & Discretion: Handle sensitive information with professionalism and maintain the highest level of confidentiality.
• Team Player: Collaborate with team members to create a positive, engaging work environment while handling various personalities and situations effectively.
Qualifications:
• Minimum 8 years of experience in an executive support role, with proven expertise in managing schedules, travel, expenses, and meetings for senior leadership.
• Ability to maintain confidentiality and manage sensitive information with discretion.
• Experience managing a small team and delegating tasks effectively.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with advanced skills in creating presentations and reports.
• Strong interpersonal skills, professional demeanor, and excellent communication, both on the phone and in person.
