Responsibilities
EVENTS & PR PRODUCTION:
• Accommodate both internal and third-party small-scale events and promotional shoots from initial inquiry to final billing. Responsibilities include site visits with clients, budgets/proposals, communication with internal departments on the lot, working with third party vendors, logistical and on-site execution and final billing
• Create and update department forms, documents, maps and diagrams for events and promos
• Assist with handling the Special Events phone and email inquiries
• Contracts/Insurance administrative help such as draft agreements, follow up on COI's, signatures, and client billing set up
• Capture and track event recap materials (photos, screen grabs, etc.)
• Assist with events social media content
• Coordinate and maintain Event files and Photo/Video assets in company digital shared drives
ADDITIONAL RESPONSIBILTIES:
• Accommodate press activity on the lot for internal and external customers as needed
• Assist team with re-stocking/organizing retail merchandise at stores and promotional items in stock room
• Support Manager with Finance needs (setting up new vendors, tracking payments, follow through, processing invoices and reconciliation)
• Accommodate lot tours
• Support department with special projects
• Assist with troubleshooting invoice issues, new vendor set up, and any maintenance issues
• Assist with Marketing efforts as needed
Qualifications/Requirements
SKILLS NEEDED:
• Ability to interact effectively with a wide range of people, self-starter, highly motivated and detail oriented
• Strong verbal, written and organizational skills
• Ability to troubleshoot and problem solve
• Works well in a team culture
• Excellent computer skills, including but not limited to Microsoft Word, Excel and PowerPoint, Adobe Photoshop, Illustrator, Canva, ScheduALL, and excellent research and internet skills
• Familiar with using social media platforms
EDUCATION/OTHER:
• Bachelor's Degree
• Position involves on-site nights and weekends as needed
