Overview & Responsibilities:
The Tentpoles, Events, Music & Specials (TEMS) is a cross-channel group (BET, CMT, MTV/VH-1 & Nickelodeon) primarily focused on “in-house†productions. The group has overview of large â€'' small scale productions, in-house and 3rd party, as well as licensed productions. Examples of in-house productions this group oversees: MTV Movie Awards, MTV Video Music Awards, CMT Music Awards, BET Awards PreShow, Black Girls Rock, NAACP Image Awards, Nickelodeon Kid’s Choice Awards Red Carpet, CMT Crossroads, CMT Artist of the Year, Unplugged. As in-house production, we oversee all aspects of physical production; budgeting, scheduling, vendor negotiations, on-site execution, and ensuring productions are adhering to Paramount standards and policies.
The department is looking for a Production Coordinator to join the TEMS team. This position will be supervising Production Assistants and other crew as needed and will directly report to the Sr. Director or Director of PM, Line Producer, or Production Manager.
Responsibilities
include but are not limited to:
• Work closely with Production Managers, Line Producers, other PM staff, as well as, internal producers to examine the needs of each production
• Hire crew and project-based staff, and negotiate rates for particular vendors
• Assist in negotiating costs and approve booking resources, equipment, and suppliers needed for each production coordinated
• Book travel for staff, crew and talent as needed, facilitate deal memos and payroll processes
• Reconcile purchase cards and petty cash expenses
• Schedule meetings for productions as needed and facilitate them as required
• Schedule in response to changing business & production needs
• Create and maintain contact sheets and call sheets for all productions
• Facilitate location bookings and arrange for all necessary permissions, permits, and risk assessments; as well as ensuring on-site locations are well maintained with catering, medics, and other facilities needed to have a safe and healthy environment
• Coordinate with other internal departments as needed to ensure all legal and safety parameters of production are met and that all deliverables are received and distributed appropriately
• Create show documents for distribution as instructed
• Build, support, and refine working relationships with all internal and external clients and personnel with whom production management interacts
• Collaborate with internal and external partners to create clear and effective lines of communication
• Work within the structure of the company’s financial software systems
• Maintain, review, and update all production files on a regular and ongoing basis, keeping Line Producer or other Prod Management executive, as well as production executives informed of all potential cost issues and final project actual
• Ensure that insurance, health and safety rules, copyright laws and union agreements are communicated and implemented
• Negotiate rates and terms with vendors, suppliers, and personnel as needed and directed
• Act in an ethical and professional manner at all times, adhering to Paramount's code of conduct policies
• Have a thorough current ongoing knowledge of all crew competencies
• Attend technical skill-building and professional development workshops on an annual basis
• Stay current with all related industry trends as they apply to the overall job responsibilities
• Maintain, modify and monitor all related production systems and processes to ensure ongoing proactive supply of this service to clients during pre-production, production, and post-production phases of a project, including, but not limited to:
• Production Accounting

Basic Qualifications:
• Bachelor’s degree in Film, Television Production, Business or related field
• Minimum of 2-3 years of experience with progressively increasing responsibility in production management roles for television or film
• At least 3 years of “hands-on, on-site†production experience
• Must have previous experience creating and managing contact sheets and call sheets
• Must have prior experience negotiating with vendors, suppliers, and personnel
• Proficiency with Microsoft office software including Excel, Word and Outlook required, and must be able to learn proprietary software quickly
Additional Qualifications:
• Prior supervisory experience highly desired (Production Assistants)
• When in production, requires a non-traditional work schedule and travel as needed
• Willingness to apply skills across brands, as needed, and determined by supervisor (i.e. PC for CMTMA, PA for VMA, work with locations and security to oversee health, safety & security for BET or Nickelodeon shows, etc.)
• Ability to communicate effectively and professionally with personnel at all levels, from production assistants, crew members, production staff, and vendors, to producers and executives
• Ability to handle several projects simultaneously and be able to troubleshoot production issues that may arise with diplomacy and professionalism
• Excellent organizational skills are critical
• Must have a team mentality
