MSG Live is looking for a driven, detail-oriented Booking Coordinator to join our team at The Chicago Theatre. This entry-level role plays a critical part in supporting our bookings operations through high-level administrative, organizational, and communication skills.
Reporting to the Director of Booking, you'll work cross-functionally with both internal teams and external partners to ensure the seamless scheduling and execution of events across our venues.
What will you do?
• Provide day-to-day support to the bookings team, including calendar management, correspondence, phone coverage, expense reports, and supply inventory.
• Coordinate travel arrangements and manage ticket requests for internal stakeholders.
• Maintain department records, timesheets, and office equipment systems.
• Communicate venue availability to promoters and agents.
• Place and manage venue holds; update and maintain our proprietary venue booking calendar with accuracy and timeliness.
• Collaborate with internal teams (Marketing, Ticketing, Finance, Production, Facilities) on event logistics from booking to wrap-up.
• Facilitate contract processing: deal letters, booking memos, license agreements, insurance certificates, and confirmation documents.
• Serve as liaison between MSG Entertainment and promoters/agents/managers to ensure event needs are met.
• Track and report on event status and metrics (ticket sales, contract and insurance status, production changes requiring revised estimates).
• Generate detailed itineraries, executive reports, and confidential memos.
• Assemble weekly booking reports for senior leadership.
• Oversee post-production correspondence and reconciliation processes.
• Coordinate the timely submission of attendance and revenue data to trade publications and stakeholders.
What do you need to succeed?
• Bachelor’s degree required; Music Industry or related field preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Excellent verbal and written communication skills with the ability to interface at all organizational levels.
• Exceptional organizational skills and acute attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
• Demonstrated discretion and professionalism with confidential information.
• Flexibility to work nights and weekends as needed–sometimes on short notice.

Hourly Pay Range
$60,000 — $65,000 USD
