Summary
The Accounting & Finance group is responsible for the finance, accounting and participations & residuals functions for the Company. The Executive Assistant supports and assists the Accounting & Finance group in all business operations. The ideal candidate must be experienced in handling a wide range of administrative and executive support related tasks and also able to work well within an administrative team in an environment of constantly changing priorities.
Responsibilities
• Maintains calendars, coordinate meetings and appointments and keeps supervisor(s) appropriately informed on a timely basis when changes occur
• Works closely with executive(s) to understand priorities, tracks executive(s) whereabouts throughout business day and maintains them on a schedule and on task
• Organizes and facilitates meetings and conference calls with colleagues, external clients and talent
• Screens incoming calls and correspondence and responds independently when possible
• Assists in maintaining computer file organization system
• Prepares the executive(s)’ expense reports and reconciles corporate credit card account
• Creates and maintains presentation, database and spreadsheet files
• Organizes programs, events, meetings or conferences by arranging facilities and caterers
• Incidental cleaning (i.e. after meetings), serving food and beverages, and other tasks as needed
• Works closely with other Administrative Staff as needed to coordinate calendars, meetings and other events that involve multiple executives and/or departments
• Assists with preparation of various tax documents (e.g. W-9, W8-BEN, Form 6166) and maintains status reports for various tax filings and notices
• Assist with preparation of baking documents, mandates and occasionally bank deposits
• Relieves Receptionist during assigned required rotation
• Performs other duties as needed and assigned
Requirements
• Bachelor’s degree preferred and/or minimum of 2 years related experience
• Excellent oral and written communication skills are crucial
• Possess excellent organizational and prioritizing skills
• Discretion and confidentiality
• Must be able to handle multiple tasks efficiently in a fast-paced environment
• Must be able to interact effectively at all levels internally and externally
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
• Experience supporting more than one executive/supervisor preferred
• Experience or general understanding of banking and tax documentations a plus
