Summary
The Production Business & Legal Affairs group is responsible for the legal activities surrounding the production of film and television. The Executive Assistant supports and assists the legal group in all business activities. The ideal candidate must be experienced in handling a wide range of administrative and executive support related tasks and also able to work well within an administrative team in an environment of constantly changing priorities.
Responsibilities
• Maintains calendars, coordinate meetings and appointments and keeps supervisor(s) appropriately informed on a timely basis when changes occur
• Works closely with executive(s) to understand priorities, tracks executive(s) whereabouts throughout business day and maintains them on a schedule and on mission
• Organizes and facilitates meetings and conference calls with colleagues, external clients and talent
• Screens incoming calls and correspondence and responds independently when possible
• Arranges, books and monitors details of complex travel and itineraries
• Prepares the executive(s)’ expense reports and reconciles corporate credit card account
• Creates and maintains presentation, database and spreadsheet files
• Organizes programs, events, meetings or conferences by arranging facilities and caterers
• Incidental cleaning (i.e. after meetings), serving food and beverages, and other tasks as needed
• Works closely with other Administrative Staff as needed to coordinate calendars, meetings and other events that involve multiple executives and/or departments
• Relieves Receptionist during assigned required rotation
• Performs other duties as needed and assigned
Requirements
• Bachelor’s degree preferred and/or minimum of 2 years related experience
• Excellent oral and written communication skills are crucial
• Possess excellent organizational and prioritizing skills
• Must be able to handle multiple tasks efficiently in a fast paced environment
• Must be able to interact effectively at all levels internally and externally
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
• Experience supporting more than one executive/supervisor preferred
