Position Summary:
The Office Assistant is instrumental in ensuring the seamless operation of our office environment while providing essential support for a variety of administrative tasks and employee experience initiatives. This position is located at the Minnesota Twins Ford Center office in downtown Minneapolis.
Essential Duties and Responsibilities:
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
• Serves as the point of contact for building maintenance (notices of work/inspections being done, messages that need to be passed to staff, entering work order into Ford Center's platform).
• Coordinates programming for employee events including but not limited to Wine Down Wednesdays (monthly) and Free Lunch Thursdays (monthly).
• Maintains shared office spaces - ensures that supplies (coffee, kitchen supplies, snacks, copy paper, toner, etc.) are stocked and equipment is in clean, working condition. Coordinates repair requests on an as needed basis.
• Assists with various tasks, including receiving/delivery of mail, greeting outside guests, preparation of correspondence, etc.
• Serves as the point of contact for building security inquiries and guest arrivals.
• Handles details of a confidential nature and performs administrative functions based on company policy and the respective Executives views and philosophies.
• Serves as backup to the Executive Assistant team, as needed.
• Coordinates meetings for the Executive Team including sending out notices and booking meeting rooms.
• Interprets requests and helps implement action, decides whether Executives should be notified of important or emergency matters.
• Composed correspondence for the Executive Team; edit correspondence related to the arrangements.
• Arranges travel, accommodations, itineraries, and all correspondence related to the arrangements.
• In the Executive absence, ensures that all requests for action or information are relayed to the appropriate staff member for prompt responses.
• Handles charitable requests for Executives as needed.
• Assists with other projects as assigned by Sr. Executive Assistant.
• Assists other members of the Administration staff as deemed necessary.
Requirement Experience and Education:
• 2 - 4 years of administrative assistant experience.
• Associate degree or higher.
Essential Knowledge, Skills, and Abilities:
• Strong organizational skills, with attention to detail.
• Computer proficiency including - Microsoft Office (Word, PowerPoint, Excel), internet, email, database/contact management, general knowledge of network and telephone systems.
• Good knowledge of general office practice, business English, spelling, and punctuation.
• Excellent interpersonal, verbal, and written communication skills.
• Ability to multi-task and handle issues where confidentiality is essential.
• Flexible and adaptable to changing work environment, accepts responsibility and is self-motivated; efficient, organized and works well under pressure.
• Knowledge of office equipment such as copier, fax machines and multi-lane phones.
Physical Requirements:
• Ability to lift items weighing as much as 50 pounds.
• Must be able to work in a seated position for majority of workday.
• Must be able to be productive utilizing a computer, keyboard, and telephone.
• Must be able to be productive in a work environment where the noise level can be high at times.
This is a part-time position that will work an average of 30-32 hours per week.
This role will work in office 4 days/week.
