Position Summary
The Executive Assistant, Baseball Operations provides high-level administrative and project coordination support to the Baseball Operations leadership team. This individual plays a critical role in ensuring the department functions smoothly and efficiently by managing day-to-day logistics, supporting internal communication, and helping drive organizational initiatives.
We are seeking a proactive and detail-oriented professional with exceptional organizational, communication, and interpersonal skills. The ideal candidate is a flexible problem-solver who can manage multiple priorities, handle sensitive information with discretion, and thrive in a fast-paced, dynamic environment. Experience in cross-functional coordination, particularly in improving internal processes, is highly valued.
Essential Functions
Administrative Support
• Arrange business travel, including flights, hotels, and ground transportation; manage related expenses
• Coordinate internal and external meetings, including invitations, agendas, logistics, and note-taking
• Handle tickets and program logistics for scouts, staff, and visitors
• Maintain calendars and support scheduling needs for Baseball Operations leadership
Cross-Functional Coordination
• Serve as a liaison between Baseball Operations and departments across the organization (e.g., HR, Finance, Legal, IT), helping to facilitate communication, resolve issues, and build relationships
• Work closely with leadership to identify and address process inefficiencies; assist in implementing improved workflows, documentation, and accountability measures
• Support communication with the MLB Office of the Commissioner on various administrative matters
Staff & Candidate Support
• Coordinate logistics for candidate interviews, including travel arrangements, scheduling, and agendas
• Support onboarding of newly hired Baseball Operations employees
• Serve as a centralized resource for staff requests, providing exceptional internal service and directing inquiries to the appropriate stakeholders
Initiative & Process Improvement
• Help execute special projects tied to department efficiency, communication flow, or administrative support
• Maintain confidentiality and exercise sound judgment in handling sensitive information
• Proactively seek out ways to improve systems, tools, or day-to-day operations with minimal oversight
• Perform other duties as assigned

Education & Experience Guidelines
• Bachelor's degree, preferably in business administration or related field, or equivalent experience.
• A minimum of 2-3 years of experience as an executive assistant supporting a C-Level executive.
Work Environment
• Availability to work evenings, weekends, and holidays as needed.
• Willingness to travel as required.
• Ability to work in a fast-paced, high-pressure environment.
