Metro-Goldwyn-Mayer Studios Inc. ("MGM") is seeking a Sales Coordinator to provide day-to-day administrative support to our International Television Distribution team in our Miami, FL location. The successful candidate must have experience handling a wide range of administrative and executive support related tasks and be able to work well in an environment of constantly changing priorities.
Primary responsibilities include, but are not limited to:
• Maintain relationships with LA based teams, e.g., sales planning, materials, finance and legal to ensure a smooth process for processing client orders and deliverables
• Ensure that clients receive paperwork in a timely manner
• Become expert in sales systems such as STARS, Microstrategy
• Become an expert in processing avail reports for the different media platforms such as SVOD, Basic, Cable, AVOD, FVOD, and any new platforms
• Generate availability and sales reports
• Enter deal memos and change orders into the MGM database
• Conduct timely follow up with clients on deal memos and change orders
• Support management of inboxes, calendars, mail, and contacts
• Handle daily administrative tasks including assisting with scheduling, filing, photocopying, scanning, answering phone calls, detailing messages, ordering office supplies, etc.
• Manage travel arrangements and trip oversight (travel, hotel reservations, ground transportation, meeting coordination) and all related expense management and processing via Concur
• Create and maintain detailed travel itineraries
• Work with marketing to ensure that office is always stocked with premiums for clients
• General deal administration duties
• Assist with compiling and distributing information and materials for meetings
• Handle special projects as needed
• Manage all information with absolute confidentiality
Requirements:
• BA/BS degree preferred
• Minimum 2 years' supporting senior executives
• Bilingual (English/Spanish)
• Must be able to quickly acclimate to an incredibly fast-paced environment and be able to anticipate needs
• Ability to work with confidential and sensitive information in a discrete manner
• Excellent management, organization and interpersonal skills
• Attention to detail and accuracy are of the highest importance
• Strong computer skills in Mac, PC, and Microsoft (Outlook, Word, Excel, and PowerPoint) required
