Executive Assistant and Event Coordinator
Location: Portland, OR, onsite
Hours: 40 hours per week
What You'll Do
• Manage calendars, scheduling, and internal coordination
• Handle email communication and basic correspondence
• Coordinate Travel arrangements for key personnel and sales meetings
• Maintain files, documents, and internal records
• Assist leadership with day-to-day administrative needs
• Plan and coordinate event logistics (booth setup, materials, schedules)
• Manage shipping of equipment, displays, and promotional items
• Order and organize event materials (tables, signage, swag, etc.)
What We're Looking For
• 5 years of administrative or office support experience, including event or meeting management
• Highly organized with strong attention to detail
• Strong written and verbal communication skills
• Comfortable juggling multiple priorities
• Proficient in Microsoft Office / Google Workspace
• Self-starter who works well independently
• Ability to travel and work flexible hours around events
• Hands-on mindset-willing to jump in and get things done onsite
• Strong communication with vendor coordination skills
• This role is in office with some flexibility for remote work on occasion.
