Job Summary:
Marvel is seeking an entry-level Administrative Assistant to support the Chief Financial Officer with day-to-day inter- and intra-department needs.
The ideal Assistant to the CFO should be well organized and highly motivated, as he/she will be a key manager of relationships between the CFO, his department, and all other divisions within Marvel, as well as outside vendors and business partners. His/her primary mission is to create, refine and drive processes that will increase the accuracy and efficiency of the department's daily functions, project coordination and communications.
Having the abilities to clearly communicate and realize ideas as well as the ability to pay close attention to detail while pursuing larger goals are the key factors that will distinguish a superior candidate.
Responsibilities:
• Assist CFO with day-to-day operations
• Set up and maintain CFO's calendar, meetings and events
• Coordinate travel arrangements for the department
• Process travel expenses
• Create and maintain project development schedule
• Organize departmental calendar events
• Manage the flow of assets and information between teams and all team members
• Coordinate meetings for all inter and intra-department meetings and outside partners
• Work with our legal team on generating and processing freelancers NDA's, WFH and W9 forms
• Generate invoices, bills and purchase orders
• Submit and maintain requests for contracts
• Answer phones professionally and courteously
Basic Qualifications:
• Ability to set and achieve extremely high standards
• Strong sense of urgency and accountability
• Ability to manage multiple projects, set priorities and meet deadlines
• Aptitude for strategic critical thinking and attention to detail
• Strong verbal, written and presentation skills
• Ability to analyze and apply data to improve results
• Excellent organizational skills
Required Education
• BA or equivalent experience
