Job Description:
Responsible for leading a team to produce multiple projects simultaneously. Responsibilities include forging strong, successful partnerships with internal and external development teams, including day-to-day communication and management with internal and external stakeholders and clients. This job also includes tracking the submission and approval process with stakeholders. The candidate will ensure milestones are delivered on time, on budget, and complete, and that the approved submissions maintain a high standard of integrity and compliance.
Essential Functions:
1. Planning & Administration
• Provide organization by leading staff in the development and production of client programs
• Report internal/external progress on short- and long-range programs
• Manage, research, write, and guide proposals, analysis documents, creative briefs, work orders, budgets, training manuals, timelines, flowcharts, and RFPs
2. HR Management
• Employee development and training
• Policy development and documentation
• Employee relations
• Recruit and contract staff for programs
3. Project Management
• Primary day-to-day manager of client relations
• Explain creative deliverables through compelling presentations, diagrams, and charts
• Workforce allocation and staff management for all projects
• Review and monitor all milestones for compliance and completion
• Ensure relevant feedback is communicated to the team and is properly implemented
4. Marketing & PR
• Organize the availability of employees for events as necessary
• Oversee content, production, and distribution of websites, mobile, social media, graphic design, printed materials, and presentations
• Manage press planning and activities
5. Financial Management
• Oversee preparation of project budgets, variance statements, and audits
• Provide vision regarding overall financial health of company
• Provide vision and leadership in long-range company planning to ensure continuity and solvency
6. Administrative Management
• Maintain general oversight and ensure accuracy of records, including filing, inventories, and general operational records
• Develop forms and tools to increase company efficiency and risk management
7. Production
• Ensure accurate documentation and quality control
• Direct and oversee site production activities and personnel
• Ensure high safety and regulatory standards at all times
Job Requirements:
• Music industry experience
• Meticulous attention to detail
• College degree +
• Minimum 10 years of experience in business/agency management and planning
• Impeccable organization skills
• Advertising agency experience
• Knowledge of the automotive industry preferred
• Practical experience in creating, guiding, and evaluating multiple production processes
• Understanding of client service, entertainment, etiquette, personal/business boundaries
• Strong project- and time-management skills with a proven ability to focus on priorities, solve complex problems, juggle multiple tasks, and meet deadlines
• Excellent leadership skills
• Ability to identify and mitigate risks
• Enthusiastic, positive, and team-oriented
• Experience with online/Internet/social media
• Solid knowledge of Microsoft Office, including Word, Excel, and PowerPoint
• Knowledge of Adobe Creative Suite, including Acrobat, Illustrator, and Photoshop, Smartsheet and Slack preferred
