This position involves being a member of a team that prides itself on its excellent communication and its adaptability to whatever comes our way. We all work together to make sure that everyone's work is completed efficiently and meets our high standards. This position requires excellent organizational skills, as it is a crucial link in the operation of many departments. Applicants must be able to effectively prioritize their tasks and complete them with minimal supervision.
Receptionist experience is a plus, as is any experience in Post Production. The majority of computer work will be in Outlook, Word, Excel, and ScheduAll (the program we use for scheduling all of our Audio and Video work).
Job Requirements
• Greeting and assisting clients and celebrity talent
• Answering all incoming phone calls, forwarding them, and taking messages
• Scheduling Audio and Video sessions, as requested by clients and managers
• Coordinating sessions with clients to assure that all necessary preparations have been completed
• Invoicing sessions, coordinating payment approval with clients, and processing paperwork
• Other Accounting tasks, such as balancing credit card statements, logging freelancers' hours, and actualizing Work Orders
• Ordering Office and Cleaning supplies, as needed
• Familiarizing oneself with all of the day's sessions and keeping up with session changes
• Knowledge of audio recording/mixing, sound design, SFX, editorial and creative finishing, is a plus.
