Job Summary:
This position will provide remote office support in a variety of areas such as manage and reporting on Accounts Receivable and Accounts Payable, maintaining company materials, generating media kits, and providing ad-hoc assistance when necessary.
This role will work closely with all members of the MBA team, reporting to the CEO. The ideal candidate has experience with Quickbooks online and in handling a wide range of administrative and executive support related tasks, and will be extremely well organized, resourceful, detail-minded, and flexible. This individual must be able to function effectively in a variety of roles within a dynamic environment.
Remote Office Manager duties to include:
- Maintain digital filing systems on Dropbox including W-9s, vendor forms, invoices, and campaign backend
- Oversee record-keeping and document preparation - creating and updating internal client information sheet and company marketing materials including total following lists, branded campaign work lists, and rosters and media kit Keynote files
- Process and track invoices and ensure bills are paid for all deals
- Track incoming wire transfers, bank payments, and checks; ensure incoming payments are deposited on time, code/explain all incoming payments on QuickBooks Online
- Handle company website updates including bios and assets
- Lead point communicating information to social media intern and providing assets to post on company's Instagram
Skills and Experience:
- A BS/BA degree or higher
- 2-3+ years of experience as an administrative assistant, preferably in entertainment or corporate environment
- Strong ability to be resourceful
- Must anticipate -- be two steps ahead of your boss at all times to deal with issues before they become problems
- Highly organized with the ability to multi-task and complete a wide range of tasks quickly and efficiently with a confident ability to come up with solutions on your own
- Self-starter who works well in a team environment and is highly motivated for success
- Proficient computer skills (Microsoft Office, Google Workspace, Apple Keynote)
- Quickbooks Online experience necessary
