JOB DESCRIPTION AS FOLLOWS:
PA TO DIRECTOR
Correspondence and filing
Timings, organisation and deadlines
Diary, meeting and travel arrangements
Personal reading list
Personal errands, reservations, arrangements etc
Personal finances
Personal projects
Client, label, agent, contractor and supplier liaison
TEAM ASSISTANT - TALENT MANAGEMENT
Timings, organisation and deadlines for staff and clients
Diary, meeting and travel arrangements for staff and clients
Circulate and highlight trade newsletters and publications
Circulate / make sure the team hears new music, charts and links
Check news feeds, alerts and send notifications
MANAGEMENT AND ORGANISATION
Managing timing plans and actions
Meeting agenda management
Meeting minutes and outputs
Keeping team reference documents updated
Keeping client documents, folders and assets updated
Keeping client calendars up to date
Running weekly meetings
Sending content to partners
Brainstorm and meeting input
Asset retrieval and servicing
A&R meetings: attend, bring leads and critique
Day to day research: venues, markets, charts
SOCIAL MEDIA AND WEBSITE
Monitoring and keeping company and client social networks updated
Running weekly social media meetings for company and with clients
Updating planner and making sure everything is actioned
Maintaining and updating new company website
Dealing with enquiries from website
Monitoring 'hits' and traffic
PR AND MARKETING
Liaising with record labels, agents, PR companies, journalists, content providers and other external parties and managing timelines / fielding requests etc
Press releases and photos for publications where necessary
Issuing any materials, press releases to PR Co. & publications
Monitoring progress for PR use
Maintaining milestone databases
Arranging photo shoots
Awards applications
PROJECTS
Maintaining project documents
Brainstorm input
Presentation packs / Powerpoints
Scanning / Photoshopping images & photographs
Image sourcing
AGENCY
Issuing contracts, chasing contracts
Invoicing
Invoice monitoring and chasing
Maintaining relationships, rebookings and feedback from promoters around shows
Managing assets, databases and documents
Subject to change / additional duties may be required - according to the needs of the business.
