We are looking for a Receptionist who reflects the innovative spirit, creative talent, production excellence, collaborative mindset and passion for great filmmaking that define Lucasfilm.
The Receptionist acts as first point of contact for visitors, candidates and deliveries to Lucasfilm's Burbank office; undertakes general studio administration including consumables and supplies, social events and other ad hoc responsibilities.
They must be extremely professional, detail-oriented, organized, proactive, resourceful, and possess great interpersonal skills. It's essential to be a multi-tasking perfectionist, dependable with an emphasis on confidentiality, to be flexible and to have a positive disposition. The ideal candidate will be able to greet visitors, including VIPs, and provide support and guidance to talent, studio executives and all company partners visiting the Burbank Lucasfilm office.
Responsibilities:
• Provide general administrative duties, including; answering calls, greeting visitors, offering general assistance, offering beverages, assisting with booking and scheduling conference rooms for meetings and presentations.
• Maintain common areas by keeping them tidy and ready for use (mail room, conference rooms, theaters, kitchen, hybrid work areas, etc.)
• Coordinate general maintenance, repairs and upgrades for office equipment, kitchen equipment, phones, computers, etc. as needed.
• Take inventory, ordering and restocking office supplies and kitchen supplies, including groceries, while staying on budget.
• Perform basic record keeping, filing, and clerical duties.
• Maintain the Lucasfilm company culture by proactively creating opportunities to mirror and/or offer San Francisco events in the Burbank office (such as streaming BeWell events, creative classes, lectures and Q&A's in available screening rooms)
• Assist executives and assistants print, prepare documents, and/or conference rooms for meetings as needed.
• Provide general technical assistance such as setting up video conferences or setting visitors up with internet access; Liaise with Studio IT to provide additional Mac OS and IOS troubleshooting support to visitors and hybrid employees.
• Arrange group catering for Company events as necessary.
• Liaise with building operations to make sure movers, IT or shipments are coordinated effectively.
• Plan for office occasions such as celebrations or special events and execute any necessary duties, completing on and off-site tasks as needed, including ordering, picking up and setting up necessary items.
• Partner with Lucasfilm's San Francisco Headquarters in order to include the Burbank office in any larger company events or distribution of company information, gifts, requests, etc.
• Assist with special projects and requests as required.
Basic Qualifications:
• 2 years with similar duties or other relevant experience in a fast-paced and constantly changing environment
• Technical/computer skills and experience including Google Suite, Zoom, Microsoft Office, Concur, PowerPoint, etc Mastery of Google Suite and Microsoft office required. Photoshop proficiency is a plus
• Demonstrated professionalism and ability to maintain the highest level of confidentiality and discretion
• Excellent phone demeanor
• Ability to take thorough and accurate notes
• Ability to communicate with all levels of executive, management and staff
• Excellent IT comprehension with an emphasis on Mac OS and iOS
• Ability to quickly learn and analyze new software
• Excellent organizational and follow through skill
• Excellent verbal and written communication skills
• Ability to juggle multiple tasks and work within deadlines
• Must be detail oriented and highly accurate in composition, typing and proofreading
• Motivated to learn and take on additional tasks as assigned
• Must have a valid driver's license and access to a reliable vehicle
• Must be flexible regarding 'on call' (including weekends) work when required
• Demonstrated ability to take ownership of assigned projects and exercise resourcefulness and creativity in selecting methods and techniques for obtaining solutions
