Job Summary:
This role is responsible for coordinating Lucas Video Production projects: creative content that spans internal Lucasfilm departments, Disney, and external clients. This role also serves as a key contact between the editorial team and other internal Lucasfilm departments to gather digital and physical assets. Additionally, the role provides day-to-day administrative support to the Producer and the department as a whole.
Responsibilities:
• Collaborate with Producer to maintain production and editorial calendars
• Assist the Producer and department with general administrative duties including, but not limited to: managing phone calls, shipping and receiving, calendar management, equipment and supply purchasing, booking travel, and preparing expense reports
• Oversee logistical needs for onsite meetings and visitors, including location scheduling and catering
• Create and maintain agenda for weekly department meeting
• Assist with communication of creative notes to staff and vendors
• Collaborate with Creative Lead, Production Specialist, and Producer to plan for all shoots, based in various locations: advise if additional crew or gear resources are needed, book external crew, as needed, create and distribute call sheets, coordinate visitor passes, place catering orders, handle shoot paperwork, etc.
• Provide editorial support as needed: review / create transcripts, gather and organize lower third information, and complete music cue sheets, ensure that reviews, turnovers, and deliverables are completed and shared
• Coordinate editorial & post-production activity: create editorial & post schedules for each project, send reminders to editors and assistants, schedule color correction & mixes, and ensure that projects stay on schedule
• Assist with creating, obtaining, and organizing project pitches, creative briefs, scripts, logs, cue sheets, and graphics elements
• Plan and execute team events; help with team morale (including birthdays and special events)
• Manage special projects as needed
Basic Qualifications:
• Minimum 3 years' experience in administrative or production support role
• Experience in video production and/or post-production environment preferred
• Experience in commercial production and/or client services a plus
• Excellent computer skills including: Word, Excel, Power Point, and Google Suite knowledge required.
• Looking for positivity, enthusiasm, and ability to be a self-starter
• Excellent analytical, organizational, project tracking, and communication skills (written and verbal)
• Ability to multi-task effectively within a high pressure environment while meeting strict deadlines
• Exceptional team player, able to collaborate closely across multiple departments and business units while demonstrating skills in diplomacy, flexibility, and patience
