Position at Industrial Light & Magic
This position provides administrative and backup support to the Talent Management team, providing an opportunity to get more involved in the crewing and scheduling of artists, and learn the management process at ILM. This role also works closely with Producers and others as appropriate to schedule personnel to ensure proper casting as well as timely and efficient completion of productions.
What You’ll Do
• Responsible for artist crewing and scheduling for a specific department
• Act as backup to Talent Managers for artist crewing and schedules while on vacation
• Maintain overview of utilization using established departmental production management and tracking systems
• Participate in regular status meetings with Show leadership to determine upcoming crewing needs
• Maintain overall and show-specific schedule for digital artists; create and maintain scheduling overviews and availability schedules upon request
• Determine and project current and future project based personnel needs based on input from Portfolio Group and Production; this includes maintaining contact with Producers regarding overall crew size requirements, crew start and end dates and show start/delivery dates as well as incorporating bidding data into facility projections; flag potential problems in regards to any of these
• Work collaboratively with Recruiting to define and communicate ongoing recruitment requirements for assigned department(s)
• Assist and support the Talent Management team in day-to-day activities including:
• calendar scheduling for Talent Management, including various department meetings
• travel scheduling and coordination
• expense reporting
• partnering on special projects as needed
• Record and distribute meeting minutes; prepare any needed documents for meetings beforehand
• Assist Talent Manager in End of Show Review process
• Assist Talent Management and Training in creation, distribution, and collection of show mortem surveys
• Update and maintain confidential files and database, including show screen and web credit lists
• Act as point person for changes and updates to Talent Management tools
• Coordinate moves and space planning, working with WPS and Management on strategic execution of space utilization
• Coordinate Talent Management workplace service and IT needs
• Assist with staff timecards
• Maintain sick database/website
• Coordinate artist vacation, personal, and sick leave with Talent Management and shows
• Administer and track artist information changes
• Order office supplies and maintain copy room & general office area
• Maintain ergonomic computer equipment stock, deploying items when requested
• Maintain ILM and ILM show alias and security groups
• Arrange ILM overnight and long-term parking for employees, per LDAC regulations
• Special projects as needed on an on-going basis as assigned
What We’re Looking For
• Bachelor’s degree in film production or equivalent preferred
• Minimum two years of related experience
• Computer skills: Microsoft Word, Excel, GoogleSuite, FileMaker Pro experience a plus
• Must have the ability to juggle multiple projects, work with diverse personalities and work within strict deadlines
• Ability to work well in a team environment
• Strong verbal and written communication skills
