Job Summary:
Lucasfilm Animation is the creator of the Emmy award winning animation series Star Wars: The Clone Wars, as well as Star Wars Rebels, Star Wars Resistance and Star Wars: The Bad Batch, all now streaming on Disney .
We are looking for an Executive Assistant who reflects the innovative spirit, creative talent, administrative excellence, collaborative mindset and passion for great filmmaking that defines Lucasfilm Ltd.
The Executive Assistant will assist with the coordination of the day-to-day responsibilities of the Supervising Director and Executive Producer of Lucasfilm Animation, on an animated television series.
*This position requires the individual to work at a hybrid capacity from our San Francisco location*
Responsibilities:
• Provide the Supervising Director and Executive Producer with support to enable them to complete their work in a timely manner. This includes: managing calendars/schedules and adjusting meetings to accommodate priorities, arranging travel and procuring/coordinating necessary items needed for international travel, creating presentations, and coordinating other key events.
• Prepare, submit and track expense reports for the Supervising Director and Executive Producer as well as other senior staff members as requested or assigned.
• Coordinate and set up internal/external meetings and events including booking conference rooms, setting up A/V technology needs, meals and catering, running errands, entering guests into visitor kiosks and escorting guests.
• Provide support for Conferences as well as Speaker Engagements in the form of scheduling, arranging travel, booking conference rooms, catering, and coordinating and assisting with other logistics.
• Utilize and update tracking systems daily.
• Provide administrative support and back-up support to the production team including typing memos, documents and schedules, photocopying, computer data entry and filing.
• Prepare routine correspondence and forms, package and ship various artwork, samples, etc. as needed.
• Order, inventory, maintain and distribute office supplies appropriately.
• Complete special projects as needed or requested.
Basic Qualifications:
• 5 years' professional administrative experience supporting senior level executives.
• Experience supporting senior level executives.
• Strong organizational and project management skills.
• Ability to work collaboratively with diverse personalities and work styles.
• Capable of working independently and as part of a team.
• Demonstrate ability to work with minimal supervision.
• High level of initiative, flexibility and confidentiality.
• Strong attention to detail with an eye for accuracy as well as a high level of focus.
• Ability to establish priorities and multi-task efficiently within a high-pressure environment while meeting strict deadlines.
• Ability to work within a fast-paced environment; detail oriented with the ability to maintain professionalism under pressure.
• Ability to anticipate needs, be proactive, resourceful and flexible.
• Excellent administrative skills including word processing, strong working knowledge of GSuite, Word and Excel, PowerPoint, Keynote, Google Docs required.
• Must be flexible regarding 'on call' (including weekends) work when as needed or when requested.
• Must have a valid driver's license and access to a reliable vehicle.

• Bachelor's degree or equivalent experience.
