The Production Coordinator is the main line of support for all producers and artists.
This position requires the highest level of attention to detail and organization. You provide a second set of eyes for the producer, and keep them abreast of all items relating to their project. You have the foresight and proactive mentality to accomplish tasks not specifically asked of said person, but things that will ultimately benefit the project and the workload of the producer. Strong verbal and written communication skills are an absolute must, as there will be an abundance of client/agency interaction.
You should be looking for an entry-level opportunity to grow in content and production. The right person will have ambitions of producing content and is eager and excited to support a diverse range of artists in service of creating great work. You view this goal as a training ground for hard work and a mindset towards success.
Pre Production Responsibilities:
- Responsible for taking notes in client calls, creative kick-offs, and all internal meetings
- Creation of sharepoints, basecamp projects, wiredrive accounts and FTP servers for each project
- Kick off notes, assets and any other media from project kickoff to be distributed to each respective system
- Help manage production slate
- Support producer with project bid and schedule
- Responsible for artist work stations being set up prior to first day at Los York (working machine, 2 monitors, Wacom tablet, server access, coordinate with IT about any software/ additional hardware needs)
- Help coordinate any client in house meetings/schedule with Front of House
- Help source artists for projects (shared with scheduling)
- Issue insurance and credit authorizations for live action shoots
- Help wrangle any production equipment needed for live action
- Coordinate with any remote artists/vendors
- Coordinate deliverable specs with IT
- Assist with travel needs if needed
- Main Point of contact between artists and producers, creatives and any outside sources.
Production Responsibilities :
- All notes, client assets, and other media are to be added to both sharepoints and basecamp in respective folders
- Relay all notes back to artists
- Support designers with the creation of decks and other design needs
- Check design treatments for discrepancies, collect IDD project files for transferability
- Wrangle stock footage, images, and 3d models
- Track all stock media costs
- Export, Compress and QC footage, test renders for internal and client postings etc.
- Post all test renders from dailies folder to wiredrive & basecamp
- Organize shotlists and breakdowns for projects
- Research and price out all music licensing
- EOD Work with all artists in wrangling and collecting project files for the day.
- Create production recap daily
- Coordinate all VO
- Research and price out all music licensing
- Main contact for outsourced vendors
- Coordinate any related project needs with NY office
- Provide file management support throughout the entire production
- Help prepare project handoffs in the event that the producer is going to be out
