Job Title: Executive Assistant to Head Coach, Basketball Operations
Department: Basketball Operations
Reports to: Head Coach, Basketball Operations
Position Summary: The primary responsibility of the Executive Assistant to the Head Coach is to provide direct assistance to the Head Coach to make sure he is able to utilize his time effectively. This role is a trusted partner assuming any and all administrative duties for the Head Coach, such as managing access to the Head Coach and maintaining and modifying his schedule. The Executive Assistant to the Head Coach is responsible for ensuring the Head Coach is aware of issues that need immediate attention. This position handles confidential business matters and must maintain a smooth operation of the office when the Head Coach is unavailable.
Essential Functions (Duties & Responsibilities**):
• Maintain daily, weekly, and monthly calendar for Head Coach
• Schedule meetings and/or appearances internally and externally
• Coordinate one-to-one meetings, departmental staff meetings, speaking engagements, etc.
• Ensure the Head Coach responds to all meeting requests
• Remind Head Coach of upcoming appointments for the day/week
• If Head Coach is unable to attend an upcoming appointment, ensure the necessary parties are notified
• Serve as the main communication liaison between Head Coach and staff (via email and phone)
• Route all calls appropriately or take and deliver messages
• Manage email inbox for Head Coach, ensuring a prompt response to urgent messages
• Review, distribute, and respond (when appropriate) to incoming physical mail
• Write, format, and proofread letters/emails/documents, as needed
• Make travel arrangements including flight, hotel and car service for Head Coach adhering to all personal specifications
• Complete expense reports and oversee fulfillment, as needed for Head Coach at the end of each trip
• Facilitate electronic file management, maintaining all documents, filling, and scanning according to record retention policy
• Order meals for in-house meetings, as needed
• Provide other essential administrative functions and duties, as assigned
**Responsibilities subject to change based on organizational needs and direction from management.
Education
(Required/Preferred): Bachelor's degree required
Previous Experience: Two to three years of work experience required. Experience working in entertainment, with high profile celebrities and clients, VIPs, and professional athletes preferred.
Technology Capabilities: Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Knowledge, skills, abilities:
• Excellent interpersonal skills and the ability to work with employees at all levels of the organization
• Outstanding written and verbal communication skills
• Extreme attention to detail
• Highly organized, motivated and able to prioritize and multi-task under the pressure of deadlines
• Ability to anticipate the needs of a busy senior executive
• Ability to represent the Head Coach and Lakers organization
• Demonstrated ability to act with the utmost discretion and professionalism
Physical Demands: Ability to lift up to 25 lbs.
Location: El Segundo (offices M-F), and other occasional off-site events
Hours: Regular office hours (9am-5:30pm M-F), plus overtime is mandatory; must be available to work evenings, weekends and holidays
