Title: Administrative Assistant, Receiving & Logistics

Pay Rate: $22.00-$24.00/hour*
Reports to: Senior Director, Facilities
*Compensation rates vary based on job-related factors, including experience, job skills, education, and training.
The individual in this position will provide clerical and related support to the Receiving and Stadium Services division in terms of data input, sorting and organizing information, in a high volume, fast paced environment with an emphasis on proper record keeping.
Essential Duties/Responsibilities:
• Review and verify for accuracy Weekly and Monthly shipping invoices (UPS, FedEx, etc.), prepare and input into internal billing software, coding to the appropriate Dodger departments.
• Maintain accurate and organized files related to open Purchase Orders, their current status and anticipated completion schedule, and retrieve and maintain proof of delivery back-up documentation from both internal and external parties while working with the Stadium Services and Logistics team to close-out completed items.
• Assist with processing open Purchase Orders against shipping documentation, and elevate any disputes, overcharges, or incomplete orders to management.
• Act as coordinator to Front Office for same-day messenger / courier pick-ups, with an understanding of the fast-paced and sensitive nature of such items, acting with a sense of urgency as appropriate.
• Log all incoming Clubhouse mail and packages, per MLB BSOP requirements, for review and monthly submission.
• Communicate with internal departments, and assist in coordinating the distribution of items received to the correct department, working with Stadium Services and Logistics staff.
• Ability to maintain focus on documents, of varying details, for an extended period of time, through completion, applying a strong sense of mathematical and common sense reasoning for data review and entry.
Basic Requirements/Qualifications:
• While remaining reasonably flexible as conditions warrant, standard working hours are 7am to 3:30pm, Monday thru Friday, with the occasional need to work weekends and overtime during Baseball season (March thru October).
• Must be able to learn Quadient S.M.A.R.T. software, Concur, and be able to create and maintain spreadsheets through Microsoft Excel, or other internal software.
• Demonstrates a high level of organization and attention to detail, while handling multiple projects and assignments concurrently.
• Ability to clearly communicate, both orally in-person and in writing, to multiple departments and Dodger entities across various time zones.
• Must be able to maintain strict confidentiality concerning sensitive information.
• Minimum 1-2 years of experience in data entry.
