Overview:
Reporting to the Senior Manager, Partner Services, the Sponsorship Services Coordinator works in tandem with a team of Corporate Sales Account Executives and focuses on servicing all aspects of client contracts within the team group and its specific network of clients.
Duties:
• Writes, organizes, assembles and handles all aspects of Season Wrap Up books for clients in their designated work group.
• With the coordination and cooperation of Account Executives in the team group, handles all aspects of contract fulfillment. This includes:
• Handling all ticket requests and distribution to and from clients and guests of clients as needed
• Coordinating on-field activities which includes the set up, organization and communication of client requests to appropriate ballpark and front office staff
• Coordinating the order of and facilitating the distribution of any and all merchandise
• Managing all parties, events and food and beverage requests made by clients. This includes site inspection and meet-and-greet with AE when necessary to ensure client satisfaction
• Attending assigned events and off-field activities
• Assists and supports Account Executives with presentations; and items related to the execution of the sales process
• Assists the Account Executives and clients with due dates for promotional items, signage sign offs, and other contractual service pieces as stipulated and agreed upon in client sponsorship package contracts. This includes chasing and sending and receiving deliverable artwork, samples and ads, etc.
• Works with Account Executives and department staff in preparing Sales Reports, Status Reports, pre-season ''plan''/turnover and Mid-season check-ups
• Aids in the contract process from obtaining internal information (i.e. signatures), to contract execution, to fulfillment, and filing
• When needed, assists in conducting market and sales research using Scarborough and other resources
• Works closely in conjunction with Marketing Managers and Special Events Rep to ensure deadlines on Client group specific promotional items, their ad trafficking, TV, radio, print, etc.
• Writes correspondence, handles team group mail, handles incoming phones as related to the accounts and specific client listing within the team
• Handles, organizes and maintains client files and master files
• Provides administrative support to department staff and department head as assigned and as designated
Qualifications:
• Bachelor's degree
• 2 years experience supporting a Corporate Sales and Service department
• Strong organizational and administrative skills
• Must have a high level of professionalism, good communication skills, the ability to relate to clients and the desire to provide excellent guest service
• Ability to multi-task with strong attention to detail
• Strong MS Word, PowerPoint and Excel skills
• Experience with CRM and Adobe Photoshop a plus
• Ability and desire to work non-traditional schedule including nights, weekends and some holidays
