This is a Full Time Job
PURPOSE:
This position will support special events in the marketing, community relations and sponsorship departments by coordinating events and all various aspects relating to the execution including providing seamless customer service, day-to-day invoicing and acting as a point of contact for vendors and clients. This position reports to the Director of Special Events.
JOB DUTIES:
Budgeting
• Day-to-day invoice coding via Papersave and spreadsheet tracking for advertising, stadium graphics, and events
Event Coordination
• Assist in coordinating annual in-season events in collaboration with other departments including; Marketing, Ballpark Operations, Special Events and Sponsorship, to ensure optimum execution.
• Events may include but are not limited to themed weekends, Fiesta Angels, Season Seat Holder events,Fan Appreciation, Salute to Kids Day, Family Sundays, Kids Run the Bases, Music Garden activations, Moving Day and Group Sales events
• Marshall the flow of communication to Marketing Department as representative in pre-homestand meetings
• Act as a point of contact for preliminary discussions with vendors regarding quotes, setup, timing, RSVPs, and execution
• Provide seamless customer service to internal and external special event clients
• Work directly with clients to book and execute events according to contractual needs
• Create and oversee event memos, event set up and logistics
• Create event diagrams in accordance with Angel Stadium space and rental requirements
• Conduct site visits for potential and contracted clients
• Assist in managing budget for events by tracking department specific hard costs and reconciling settlements
• Recap events and promotions upon completion
• Execute pre-game, in-game and non game-day special events at Angel Stadium
• Maintain client files
• Assist in client email and phone correspondence
Requirements/Qualifications:
• Bachelor's Degree preferred
• 1-3 years of related event coordination experience preferred, past experience in fast-paced environment a plus
• Strong organizational skills and punctuality required
• Excellent verbal and written communication skills
• A professional appearance and telephone manner is essential
• Commitment to providing excellent customer service
• Must be proficient in MS, Excel, Word, Power Point and the Internet
• Ability to work nights, weekends, holidays and non-traditional business hours is required
