We are currently seeking a talented and enthusiastic Front Desk / Operations Coordinator. The Front Desk holds a key role within the Studio, providing the highest standards of assistance and support to clients and staff. The role works alongside every department within the Studio, which equips you any career path. The role is best suited for media graduates or candidates with relevant experience in other areas of the industry.
Responsibilities:
• Greet clients and sign them into our check in / security system
• Issue, collect and maintain Security Badges
• Answer, screen and forward incoming phone calls
• Help to coordinate studio events
• Publish incoming project drives to production teams
• Coordinate travel
• Expense reports
• Coordinate all parking and transportation activity
• Facilities coordination for building maintenance and projects
• Issue PO's and work with Accounts Payable to facilitate vendor payments
• Work closely with the Client Services team as needed
• Manage conference room bookings
• Draft internal Studio announcements and flyers as needed
• Coordinate services for building maintenance vendors
• Facilitate on/off boards for incoming and departing staff
• Maintain and order office supplies
• Create daily production call sheet
Working hours:
2 openings available:
7.00am - 1.00pm
1.00pm - 7.00pm
Qualifications
• Experience with customer service, event coordinating, or other hospitality category
• High school diploma or equivalent - Some college preferred
• Ability to work well in team environment but also independently with minimal supervision
• Proficient with Word and Excel in both PC and Mac
• Ability to problem solve
• Excellent communication skills
• Punctual and detail-oriented
• Outgoing personality
• Ability to work well under pressure
• Highly organized, able to multitask and prioritize projects
