THE JOB
The Production Coordinator is responsible for supporting the planning, execution, and financial administration of live events from pre-production through show settlement. Working closely with Production Managers, touring personnel, vendors, and internal teams, this role helps coordinate event logistics, manage production budgets and administrative processes, and ensure seamless day-to-day operations.
This position is ideal for someone who is highly organized, thrives in a fast-paced live event environment, and enjoys balancing production operations with financial and administrative responsibilities.
WHAT THIS ROLE WILL DO
• Support Production Managers throughout the entire event lifecycle, from pre-production and on-sale through event settlement.
• Assist with production logistics, including vendor coordination, equipment rentals, transportation, and backstage operations.
• Prepare and maintain show budgets, forecasts, expense tracking, cash reconciliations, and post-show recaps.
• Process invoices, monitor payments, and assist with financial administration and show settlements.
• Coordinate production staffing, employee scheduling, payroll entry, and related reporting.
• Review artist and tour riders to advance dressing room, hospitality, and backstage requirements.
• Serve as a primary point of contact for touring personnel, vendors, caterers, and internal departments to ensure clear communication and smooth event execution.
• Coordinate rental vehicles and track usage, including mileage, fuel, maintenance, and damages.
• Schedule and participate in production meetings, both in person and virtually.
• Assist with expense reports and other administrative projects for the production team.
• Provide general operational support to the Production department as needed to ensure successful events.
WHAT THIS PERSON WILL BRING
• 1–3 years of experience in live event production, venue operations, entertainment, or a related field.
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
• Experience supporting budgets, invoices, payroll, or other production-related administrative functions.
• Excellent communication skills and the ability to work effectively with internal teams, vendors, and touring personnel.
• Proficiency with Microsoft Office (Excel, Word, Outlook); experience with production or financial systems is a plus.
• Ability to work flexible hours, including evenings, weekends, and holidays, based on event schedules.
• High school diploma or equivalent required; additional education or relevant certifications are a plus.
