This is a Full Time Job
The Booking Operations Manager will work with the booking department and other talent/event team members in all aspects of booking operations responsibilities including working closely with the national touring department on preparation and distribution of offer sheets and event information, venue communication, administrative support and event coverage.
WHAT THIS ROLE WILL DO:
Booking Operations Management
Review designated deal sheets in booking system
Obtain holds/avails from venues and place and release holds in booking system/calendar
Obtain all details and show information from artist and/or internal representatives and act as communications liaison between artist/internal representatives and venues
Coordinate with artist and internal staff on announce and on sale dates. Communicate regarding appropriate traffic around announce/on-sale schedules
Update and maintain offer templates, venue and artist info in booking system
Create reports as needed and distribute to pertinent internal and external stakeholders
Confirm/release holds/events with venue partners
Review scaling maps and monitor sold/opens maps
Review ticket holds with Ticketing Department
Understand and coordinate as needed regarding State / Foreign income taxes relating to Artist Settlement
Liaise with venues for artist/promoter specific requests not limited to suites, VIP access, parking etc.
Monitor financial forecasting and communicate with internal departments for updates/revisions
Attend concert events as Local representative with venues, artist representatives and national LN Touring teams
Serve as a key member of the booking team, participate in meetings and discussions, deliver new and exciting ideas on artists, venues, processes and best practices
Consistent communication and check-ins with local Booking team and talent buyers
Establish, build and maintain positive relations with agents, managers and industry representatives as needed
Coordinate with Production team as needed regarding CAD's and seating charts
Manage internal documentation as required (ROME, calendars, ticketing,?etc)
Administrative Support
Execute designated venue leases per company guidelines and return to venue partners
Request and distribute certificates of insurance as applicable in line with venue agreements
Manage and distribute legal event promotion documents as applicable
Review artist and venue show settlements night of show and post show as needed
Contribute to show files to ensure all essential documents are present prior to day of show.?
Assist with industry and guest ticketing requests as needed
Coordinate internal event working credential lists
SKILLS/COMPETENCIES
3-5 years – Experience in venue?bookings, artist?bookings or festivals?and data analysis.
A minimum of 2 years experience as an assistant is preferred.
Proficient use of Microsoft Outlook and well-versed in Excel and database programs and ability to work with accounting and financial departments.
Ability to navigate the internet as a communication and research tool.
Professional level of verbal and written communication skills.
Fast learner with a strong work ethic and a high sense of responsibility in an ever-changing environment.
Self-starter; high level of initiative, adaptability and problem-solving skills.
Strong client service skills and ability to execute in a fast-paced environment with high level of responsiveness.
Must be able to handle sensitive matters and exercise excellent judgment.
Ability to work independently and within a team to juggle multiple prioritized tasks.
Experience with contracts a plus but not required.
Strong attention to detail.
Eagerness to support others (in venues and office).
Able to have flexibility in working hours such as nights, weekends and public holidays
Multitasking and organizational skills; ability to handle several types of projects and people regularly.
Ability to work well under pressure.
