THE JOB – Administrative Assistant at Lakewood Amphitheatre
Lakewood Amphitheatre is seeking an Administrative Assistant who will be responsible for general administrative support.
Important Note: This position is part-time/seasonal with hours beginning in February of 2024 and working through October of 2024.
WHAT THIS ROLE WILL DO
• Provide general administrative support for the venue office, prioritizing and managing tasks with minimal supervision.
• Assist in the preparation of regularly scheduled reports, including logging and maintaining show/venue invoices.
• Maintain all inventory, credential, lost and found logs.
• Processing and directing mail and incoming packages or deliveries.
• Maintain office supplies and coordinates maintenance of office equipment.
• Clean and organize radios and other equipment, account for all items.
• Assist with creating presentations, creating reports, developing and printing materials and samples as needed for meetings and presentations, for both internal and external meetings.
• Keep current on all Standard Operating Procedures and be able to effectively communicate them to team members.
• Create pre-shift sheet and relay information from management directly to staff.
• After show shift would include scanning settlement reports, invoice processing, collecting all incident reports and resetting admin office area.
• Assist in researching for miscellaneous projects.
• Responsible for compiling and maintaining sensitive event information.
• Act as the point of contact and general support for vendors, clients, and new staff.
• Answer and direct phone calls, email & text line inquiries.
• Light office maintenance including filing, copier/scanner support and package handling.
• Day of show support to operations and production.
• Other duties as assigned by venue management.
WHAT THIS PERSON WILL BRING
• Position requires constant walking, standing and occasional sitting in an outdoor environment in all weather conditions; lifting/carrying 25+ pounds.
• High School Diploma or equivalent preferred.
• Working knowledge of Music Venue Operations.
• Great attention to detail and ability to work against deadlines.
• Strong strategic thinking and creative problem-solving skills.
• Excellent verbal, written and interpersonal communication skills.
• Independent worker and self-starter.
• Acute sense of judgment, tact and diplomacy.
• Enjoys interacting with guests.
• Ability to work weekdays, weekends, and holidays, including late evenings.
