The Role:
Part-time & temporary administrative support for our tour department.
Responsibilities:
• Assist with maintaining Itinerary Database for East and West Coast touring offices.
• Produce invoices and assist with venue collections
• Order Trucks from Penske Trucking for all tour needs, Validate, maintain and process prompt payment
• Ship, Distribute Accept, sort incoming and outgoing packages track packages received & delivered
• Order Credit Card Machines for all tour needs, track, maintain and process bills.
• Coordinate various tour department meetings
• Assist with customer service support as needed for product sold at shows
• Issues sales orders, sample orders to various departments and clients as well as final invoicing
• Assist tour department with venue collections as needed
• Assist tour department with weekly and monthly filing
• Support all LNM Road Merchandise Manager staff with their needs while on tour.
• Maintain sample room inventory and ship samples as required.
• Send out samples for multiple departments
Qualifications:
•Possess at least one year of executive assistant experience, office management or have administrative support background
• Ability to analytically review reports, states, invoices and properly process
• High level of written and verbal communication skills
• Must have an interest and understanding of Music current and classic.
• Able to effectively manage/prioritize various projects at the same time while also being able to complete them in a timely manner.
• Ability to utilize computer software programs such as Word, Excel, ACT/File maker Pro, and Lotus Notes, Mac OS, SAP, R&R, Counterpoint, as well as internet browsers
• Ability to multitask under high-pressure situations
• Ability to understand instructions quickly
• Ability to complete tasks on time within a deadline driven environment
• Ability to follow through on projects
• Be willing to learn and accept new responsibilities
• Detail oriented
• Must be dependable and reliable with a proven track record of excellent attendance
• Ability to interact professionally with vendors, clients and guests
• Must have a positive attitude with a cheerful, upbeat disposition, easygoing demeanor and a great sense of humor
• Music industry experience a plus
• Discretion and confidentiality is essential
