Summary of Position
The Coordinator, Office of the CHRO provides high-level administrative, operational, and project support to the EVP & Chief Human Resources Officer and the Human Resources department. This role serves as an executive operations partner for the Office of the CHRO, helping manage a high volume of sensitive priorities with sound judgment, discretion, responsiveness, and follow-through.
The ideal candidate is highly organized, proactive, polished, and solutions-oriented, with the ability to anticipate needs, protect confidentiality, communicate professionally with senior leaders and employees at all levels, and help the CHRO office and HR department operate with efficiency, accuracy, and care.
Responsibilities
• Provide high-level administrative support to the CHRO, including complex calendar management, meeting scheduling, travel coordination, expense reports, invoice processing, phone coverage, and day-to-day executive office support.
• Manage the CHRO’s calendar with strong judgment and prioritization, balancing urgent business needs, executive meetings, employee matters, board and committee-related work, and HR department priorities.
• Serve as a professional and responsive point of contact for the CHRO office, including handling inquiries, routing requests, tracking follow-ups, managing open items, and ensuring timely resolution.
• Prepare, edit, organize, and distribute correspondence, presentations, meeting materials, reports, agendas, briefing documents, and other HR or executive-level materials with accuracy and attention to detail.
• Handle highly confidential employee, organizational, compensation, executive, legal, and departmental information, documents, records, and files with discretion, professionalism, and sound judgment.
• Coordinate meetings and events, including scheduling, conference room reservations, catering, visitor access, agendas, materials, Teams/technology setup, and other logistical arrangements.
• Track and help drive follow-up on key CHRO office priorities, including action items, deadlines, leadership meeting follow-ups, HR initiatives, vendor matters, purchase requests, invoices, and special projects.
• Maintain HR department resources, including organizational charts, distribution lists, department calendars, contact lists, Teams channels, shared files, office supplies, incoming mail, and other administrative systems.
• Support onboarding and integration of new HR team members by coordinating introductions, department meetings, systems access, Teams channels, distribution lists, and other relevant resources.
• Conduct company-specific and industry-wide research, compile and summarize information, and support special projects related to HR operations, employee engagement, executive requests, and broader business priorities.
Qualifications and Skills
• Prior experience supporting an executive or senior leader in a fast-paced corporate environment; Human Resources, Legal, Entertainment, or other highly confidential business environments preferred.
• Excellent organizational skills, attention to detail, and ability to manage multiple priorities, deadlines, and stakeholders with limited supervision.
• Strong written and verbal communication skills, with the ability to interact professionally and confidently with employees, executives, external partners, and visitors.
• Demonstrated discretion and sound judgment in handling confidential, sensitive, and time-critical information.
• Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams, and comfort learning new digital tools, systems, and AI-enabled productivity tools.
Additional Requirements
• This position requires five (5) days per week in office.
Nice to Haves
• Experience supporting a C-suite executive, HR leader, legal executive, or other senior corporate leader.
• Strong calendar management skills, including the ability to understand priorities, anticipate conflicts, and make thoughtful scheduling decisions.
• Ability to draft, proofread, and polish communications and materials with accuracy, professionalism, and appropriate tone.
• Experience coordinating meetings involving senior executives, external advisors, board members, consultants, or cross-functional leaders.
• Comfort working with confidential HR, compensation, organizational, employee relations, or executive-level information.
• Natural follow-through skills, including the ability to track open items, remind stakeholders diplomatically, and close loops without being prompted.
• Strong service orientation, positive attitude, and ability to build trust across a collaborative HR team.
• Interest in HR, people operations, entertainment, employee experience, or organizational culture.
