Search for Evening Operations Coordinator jobs in Hollywood-CA
Oversee and manage processes for scheduling and allocating facility resources in the Light Iron Los Angeles facility to improve
utilization, maximize revenue opportunities, and meet client expectations. Interact with sales, production, and management to
balance the needs of all stakeholders. Seek-out and implement processes that improve the handoff between production teams.
This position will operate in correspondence with the daytime Operations team and oversee the facility from approximately 4pm to
1am.
Key Responsibilities:
- Maintain schedules for all revenue-generating staff, rooms, and equipment
- Ensure schedule has the most up-to-date information available on current projects, including resources,
cancellations, pushes, and client challenges
- Coordinate with sales and production groups for all future projects (both tentative and actual) to determine
proper resource allocation
- Advise on opportunities for schedule shifting suggestions and options
- Escalate conflicts and resolve with sales, operations and production staff
- Schedule, organize, create work orders, and actualize the following resources:
- Color Timing Rooms : Start & Stop times, Colorists, Assistants, attending Clients, & conflicts
- Editorial and Conform : Start & Stop times, Staff & Freelance Artists, Assistants, attending Clients, equipment &
conflicts
- Machine Room: Start & Stop times, Staff & Freelance Operators, equipment & conflicts
- Facilitate dialogue amongst various divisions (sales, production, operations, engineering, artists) to create robust feedback
loop
- Provide daily updates, including publishing reports for various departments in preparation for each day's assignments
- Notify sales and management of significant openings that need to be filled and/or available resources
- Develop analytics, build systems and processes to improve awareness, accountability, and facility performance
- Develop room, staff, and equipment utilization metrics; set utilization targets.
- Implement and communicate process for handling double-bookings
- Actualize daily work orders and assist in the workflow to feed timely and accurate information to billing
department; ensure every actualized work order is delivered to billing
- Prepare analyses for sales, production, operations, and management to make informed decisions
Skills/Experience Required:
- 3+ year post production industry experience and related working practices, specifically in the realm of staff support,
resource allocation, and client management
- Understand Company infrastructure and how to leverage available resources
- Previous experience managing schedules within a team or organization
Preferred Qualifications:
- Managerial and leadership experience, with ability to delegate and manage additional staff
- Strong customer service and interpersonal abilities; comfortable with internal negotiations
- Effective communicator (verbal and written)
- Extremely organized and maintains strong attention to detail; can work on own initiative without constant supervision and can
shift priorities when necessary
- Strong analytical skills with knowledge of Scheduling platforms and Excel
- Ability to work under pressure with strict time constraints, yet maintain high performance standards and output
- Willing to adapt to the changing needs of the Company
- Interest in cutting-edge technology
- All other duties as assigned

This position works standard business hours but may require long hours and some weekend work.
