Leverage Management is seeking a highly motivated and organized individual to join the team as an Executive Assistant to the founder of the company. In this position, you will play a crucial role in supporting the executive with administrative, scheduling, and organizational assistance.
Responsibilities
• Communication: Act as the primary point of contact for internal and external inquiries addressed to the executive. Draft and proofread
emails, letters, reports, and other documents on behalf of the executive. Manage incoming calls and messages, prioritizing and relaying
information as required.
• Calendar Management: Maintain and organize the executive's calendar, scheduling appointments, meetings, conferences, and other
events. Prioritize and manage conflicting demands on the executive's time, ensuring they are well-prepared for each engagement.
• Meeting Coordination: Coordinate and schedule meetings, including arranging video conferences, preparing meeting materials, and
booking venues. Attend meetings and take minutes.
• Administrative Support: Handle administrative tasks such as filing, record-keeping, and expense tracking. Maintain an organized filing
system, both physical and digital, for easy retrieval of documents.
• Travel Coordination: Work with a travel team to help plan and organize domestic and international travel for the executive, including
flights, accommodations, and transportation. Prepare detailed itineraries and ensure the executive's travel arrangements run smoothly.
• Personal/House Assistant: Assist with tasks around the house, including coordinating appointments with vendors, prepping the
executive for in-person meetings and outings, facilitating house-related purchases, running house-related errands, filling up the
executive's vehicles with fuel, and other necessary support.
Qualifications - Must be a self-starter with the ability to prioritize, organize and establish administrative procedures and work under pressure
• Excellent oral and written communication skills
• Highly organized, detail oriented, and a problem solver
• Capable of managing several projects simultaneously with minimal supervision
• Ability to handle confidential information and interact with high-level executives
• Professional presence, good judgment, and ability to anticipate needs
• Ability to work overtime and weekends as needed
• Proficiency with video conferencing, including, Zoom, Google Meets, Microsoft Teams, and FaceTime.
• Microsoft Office proficiency, including, Outlook, Word, Excel and PowerPoint.
Pay will be dependent on experience.
