Position Overview:
We are seeking an experienced Executive Assistant to support the President and an A-List Manager. Candidates should have prior entertainment industry experience-agency, management, casting, or production background strongly preferred. The ideal candidate will have working knowledge of key industry players and fluency with standard entertainment tools.
This position requires a career Executive Assistant who thrives in high-pressure environments, can anticipate needs, and handles sensitive information with absolute discretion.
Responsibilities:
Manage executive calendars, client appointments, and industry meetings
Coordinate calls and correspondence with casting directors, studios, networks, showrunners, producers, and directors
Maintain and update client information, databases, and digital files
Track and organize auditions, submissions, and industry communications using Breakdown Express, Casting Networks, and InEntertainment
Liaise with publicists, stylists, and production teams to support client projects
Roll calls and provide detailed call sheets/notes as needed
Arrange travel itineraries, accommodations, and logistics
Ensure seamless day-to-day operations in a remote capacity (Hours will likely be 12-6 PM ET)
Qualifications:
Minimum 1 year of entertainment industry administrative experience (agency, management, or casting required)
Proven experience as an Executive Assistant supporting senior-level professionals in a fast-paced environment
Knowledge of industry players: producers, showrunners, casting directors, network executives, directors, and writers
Fluency with entertainment tools: Breakdown Express, Casting Networks, InEntertainment
Strong organizational and time-management skills with the ability to manage competing priorities
Excellent written and verbal communication skills
Proficient with Mac software and Google Workspace
Professionalism, discretion, and reliability are essential
Compensation:
Part-time with potential to transition to full-time; salary commensurate with experience.
