This is a Full Time Job
The Manager of Special Events will focus on attracting and securing special events (non-gameday) for the Kansas City Royals to include national, regional, and local concerts, exhibit & tradeshow, community & corporate and other special events. This person will assist with all aspects of the facility's booking process and work closely with, and report to, the Senior Director and other Royals team members to maximize opportunities. This position requires the knowledge of the live entertainment industry and its current trends including current musical genres and demographics, ticketing, marketing, promotions, social media, and local market trends and demographics. Strong interpersonal and relationship skills are necessary to establish pertinent connections with special event clients, promoters, artist agents, civic groups, and managers to secure events at Kauffman Stadium.
Responsibilities:
• Establish and maintain relationships with key touring industry professionals, including agents, managers, promoters, and producers
• Create and maintain a booking sales list of all potential promoters, agents, and potential Royals-promoted events
• Obtain information from various agencies on talent availability for events
• Attend venue entertainment conventions, meetings/trade shows (Pollstar, IAVM, IEBA, etc.) and generate new business through cold calling and leads generated through networking
• Research and prepare marketing data that supports the booking efforts for specific artists, shows and events.
• Assist Senior Director in negotiating agreements/proposals/business points and terms - handling and negotiating all rental and business points to include, but not limited to, rental, staffing, utilities, box office and merchandise fees, etc.
• Oversee the development of all necessary documents/information to submit to promoters (e.g. promotor guides, advertisements, promotional materials, contracts)
• Administer and verify that all the processes of the contract agreement are fulfilled, including but not limited to, authorized signatures, deposits, insurance requirements, preliminary through final payment settlement with finance confirmation
• Participate in show event budget preparation, artist offers, and event settlement
• Compile and track historical event information to include but not limited to all financial profit and loss statements, attendance history, per capita revenue, and expenditures
• Track and analyze event ancillary revenues (concession commissions, merchandise commissions, parking revenue, etc.)
• Collaborate with Royals team members relative to entertainment ideation, and content development for outdoor family entertainment and opening and closing ceremonies for youth/amateur events
• Provide direction to Stadium Operations staff on staffing levels based on type of event and review staffing configurations
• Manage event-booking calendar, including adding, editing and/or removing events and event holds, and respond to building availability requests in a timely manner
• Assist with promotions and special events with event promoters and designated Royals departments
• Develop and maintain a productive working relationship with other facility and vendors
Knowledge Abilities and Skills:
• Ability to develop and analyze financial proformas to project and monitor estimated levels of our ROI for each event and break-even points based on historical performance and current market conditions and recommend appropriate actions/changes to meet business goals and event operations
• Demonstrate knowledge of the principles, practices, and terminology of the live entertainment industry
• Knowledge of principles and practices of event marketing, sales, social media, event ticketing, and premium event experiences
• Organize and prioritize work to meet deadlines
• Work effectively under pressure and/or stringent schedule and produce accurate results
Qualifications:
• Bachelor's degree, preferably in business, marketing, finance, or comparable discipline or equivalent experience
• 2 years' experience in the entertainment industry with an excellent understanding of the industry landscape, trends, and key players
• Demonstrated ability to conduct market research, prepare financial projections, and lead start to finish negotiation of revenue driving opportunities
• Strong organizational, and problem-solving skills with meticulous attention to detail
• Proven collaborator with ability to work independently, as well as in cross-functional groups
• A solution-oriented mindset, positivity, optimism, and high energy
• Excellent communication, persuasion, and negotiation skills
• Experience in developing presentations and presenting
• Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, MS Outlook
• Must be flexible with working nights, weekends, and holidays
• Occasional travel to venues, conferences, and other sites may be required
