Description
Jukin Media seeks an experienced Executive Assistant reporting directly to the Founder & Co-CEO. The Executive Assistant (''EA''), serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Founder & Co-CEO. The EA organizes and coordinates executive outreach and external relations efforts and oversees special projects.
The EA must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and culture oriented. The ideal candidate has the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills and the ability to maintain a realistic balance among multiple priorities.
This individual will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Non-negotiable characteristics are exceptional customer service, uncompromising attention to detail, and possessing a very proactive nature.
Responsibilities
Responsible for a broad variety of administrative tasks including managing an active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex detailed travel plans, itineraries and agendas and compiling documents for travel-related meetings
Plans, coordinates and ensures the schedule is followed and respected and creates win-win situations for direct access to the CEO's time.
Researches, prioritizes and follows up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature - and determines appropriate course of action, referral or response
Prioritizes conflicting needs, handles matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures
Must be available during off-hours
Requirements
4 years-experience as an Executive Assistant and/or supporting senior management as an administrative assistant
Associates degree and/or 5 years of experience in a corporate environment.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders including senior management, staff, board members, external partners and clients
Expert level written and verbal communication skills
Demonstrate our culture of service excellence and must have a sense of dignity, pride, and satisfaction in work
Highly resourceful team-player with the ability to be effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response
Outstanding organizational and follow-through skills
Meticulous attention to detail is a must
Proficient in Mac OS, Google Suite and Microsoft Office, Adobe Acrobat and Social Media platforms
Experience working at a talent agency or a digital media company a plus
