How do I hire an Executive Assistant? Crowd Surf's executive assistant is responsible for managing day-to-day office needs and personally assisting company co-owners. The ideal candidate should have both admin and personal assistant experience. He/she will lead office organizational processes and provide help to meet the needs of office personnel.
Executive Assistant Job Duties:
Assist Co-Founder(s) with time and daily management, scheduling of meetings, correspondence, note-taking and personal errands.
Oversee and organize co-founder(s) calendar and schedule on a daily basis. Provide constant reminders and manage all changes and alterations to schedule promptly and efficiently.
Schedule meetings and appointments.
Greet clients and visitors in office and provide them with general support.
Oversee mail deliveries, packages, and couriers.
Organize the office and order office supplies & refreshments while staying within the company budget.
Ensure that all office expenses and purchases are filed with accounting accordingly.
Manage office vendor contracts and price negotiations with service providers such as phone, parking, & office cleaning service providers.
Work directly with the building manager to ensure that all maintenance issues are under control.
Plan in-house and off-site activities such as meetings and company celebrations, company events, team lunches & outings, and employee team-building activities.
