This position provides all facets of administrative support to a senior executive of a growing business unit. This is a fast paced atmosphere requiring someone who is able to multi-task and prioritizes competing business needs.
Job Responsibilities
• Responsible for providing administrative support to senior executive.
• Coordinate all scheduling associated with meetings and other misc. needs
• Coordinates travel and accommodation arrangements within the guidelines of the Travel and Entertainment policy, negotiating rates when necessary, and assessing time and cost efficiencies of available flight selections
• Verifies and tracks expenditures for processing expense reports through the Concur system
• Ability to discreetly handle confidential information pertaining to the business unit.
• Maintains the calendar of senior executive
• Responsible for maintaining and ordering appropriate levels of office supplies
• Responsible for tracking and approving department timesheets in collaboration with HR
• Ability to create and edit PowerPoint and excel presentations for team and senior management from draft to final copy stages
• Accepts and self initiates additional projects and assignments and completes as required. Adjusts to the shifting needs of the company and the executive's role
• Must be confident and cordial in demanding situations
Education and Experience
• Minimum 3 years experience supporting a team of 3 executives or senior level executive. Background in startup environment a plus.
• Strong interpersonal skills with ability to interact at all levels of the organization
• Must possess excellent communication skills (written and verbal) including the ability to compose correspondence in appropriate business language and tone.
• Proven ability to communicate effectively and professionally with all external and internal contacts.
• Able to prioritize workload and manage multiple requests/tasks while anticipating needs
• Very strong organizational skills
• Self-starter and resourceful problem solver able to manage multiple requests/tasks simultaneously in a fast paced, challenging & changing environment with stellar follow through skills.
• Proficiency in all MS Office programs (Word, Excel, Outlook and PowerPoint) and internet required
• Discretion to handle sensitive/confidential business/company information
• Ability to work with other EA's in company by fostering a friendly, positive and professional attitude with a strong work ethic
• Comfortable and thrives in a fast paced environment
• Detail oriented with a meticulous attention to work product/output
• College degree a plus.
