Office Coordinator / Executive Assistant to Head of Production wanted for G Living, Inc. production company.
We are looking for a sharp go-getter who can handle multiple tasks easily and efficiently. The ideal candidate is professional, presentable, honest and very well organized.
Strong proficiency for Mac and the following software required: MS Office (especially Excel), iWork, Mail, iChat, iCloud. A working knowledge of Showbiz Budgeting, EP Budgeting, and other accounting software is a plus. Must have own Apple laptop.
Responsibilities include:
□ Create and manage budgets. Oversee petty cash and expenses.
□ Prepare outlines for legal and employment paperwork.
□ Maintain all official documentation in their appropriate files.
□ Schedule meetings, conferences, and appointments for the Head of Production.
□ Answer phones and attend to visitors.
□ Research.
□ Independently compose reports and correspondence for executive's signature.
□ Review correspondence and answer written inquiries.
□ Review and secure all travel requests.
□ Prepare agendas and materials and confirm that all of the information is accurate.
□ Work on assignments that are routine in nature but where some judgment is required. Expected to exercise judgment and take initiative in performing job responsibilities.
□ Provide overall administrative support for the company.
The job will involve everything from distributing information throughout the company, to being involved in details of the production itself.
