The Role
CAA is seeking an HR Operations Coordinator to join its Human Resources team. The Coordinator will serve as the focal point for all U.S. offices ensur ing that all logistics are in place to en able a seamless first day for new employees . This position will coordinate and drive accountability across functions (Tech, Human Resources Business Partners, Recruiting , and Facilities ) for meeting onboarding deliverable deadlines .
Additionally, the Coordinator will lead the weekly onboarding process , track progress end to end and escalate appropriately. This hybrid job r equires office presence in Los Angeles on Monday, Tuesday and Thursday and other days based on business need.
Responsibilities
Onboarding & New Hire Support
• Communicate with recruiters regarding updates and/or if additional information is required from the candidate to ensure new hire is compliant with CAA practices and policies
• Ensure each function is updating new hire grid in real-time
• Using onboarding checklist, work with functions to ensure all new hires have all the first day information and system set-up needed
• Collaborate with the appropriate corporate function teams and hiring managers as needed
• Lead weekly cross-functional update meetings to ensure all preparations are completed for following week's new hires
• Identify and work with partners to implement areas of improvement in onboarding processes
• Attend onboarding sessions in Los Angeles Office on Mondays and Thursdays and lead office tours
• Lead weekly onboarding for HR operations (Benefits, HRIS systems, etc.) and ensure all other elements of the orientation and onboarding process are completed
• In partnership with Corporate Communications, responsible for edits/changes to new hire announcements
• Support in the pre-hire background check process ensuring compliance with CAA policies and providing Recruiters and HRBPs support
• Liaison between new hire, hiring managers, IT, HR and facilities to ensure a smooth new hire onboarding process
• Ensure compliance with USCIS Form I-9 Employment Eligibility Verification via E-Verify
Systems & Operational Excellence
• Process employee status changes and updates in Workday in a timely manner including promotions, transfers, salary adjustments, office locations and others as necessary
• Be the first point of contact for employees on HR related inquiries or requests including answering questions about benefits, payroll, Workday, background checks, company policies
• Provide support for off-boarding and termination actions including partnering with IT to offboarding employee system access
• Be Workday superuser and support system inquiries from HR, managers and employees directly
• Manage HR Share Drive and Document repository and ensuring access for new HR hires
• Relocation point of contact for global workforce and responsible for continuous improvement
• Manage the HR main line and tier 1 initiatives with appropriate routing
• Project coordination and note taker
• Enhance workflow and cross departmental engagements and initiatives
• Recommend and update procedures to improve operational performance
• Collaborate with stakeholders on project and issue resolution
• Keep updated knowledge on regulations, policies and procedures
• Special projects as needed
Qualifications
• Bachelor's degree required or equivalent experience
• 3+ ?years relevant HR, HRIS, payroll and/or labor relations experience
• 2+ years' Workday experience
• Experience in HRIS and data management, benefits, compensation, HR policies and procedures, leaves of absence, compliance, etc. is preferred
• Organization skills; detail oriented; outstanding communication skills; excellent follow up skills; critical think; ability to learn and understand our policies and procedures
• Solid Microsoft Office Suite skills (Outlook, Word, Excel)
• Ability to maintain confidentiality and build, establish and maintain trust and credibility
• Ability to travel, if requested
• Strong verbal and written communication skills
• Confidentiality, diplomacy, and discretion
• Excellent interpersonal skills
• Excellent organization skills, attention to detail, and ability to prioritize actions

Location?
• Hybrid – Los Angeles; Monday, Tuesday, Thursday in office
Compensation: The base hourly rate for this position is in the range of $25.00-$36.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
