Responsibilities:
• Manage new music release schedule, supervise servicing music to Radio, set-up PlayMPE & All Access email blasts to Radio and update Mediabase. Encode music and create Mediabase alerts
• Manage all Artists' Promotion Budget for the department by maintaining actuals, funds commitments, total spend and remaining budget and send monthly spend update to Marketing. Collaborate and determine with Marketing and Promotion Department Heads quarterly budget allocation based on previous spends & future Radio campaigns
• Track all payments for artists' Radio show performance fees working with Regionals, Tour Director and Finance
• Manage all Promotion Department Vendors including processing invoices, tracking payments against department's overall budget and setting up new vendors as well as all vendor communication
• Construct weekly Monday radio charts and Tuesday promo wrap-ups using Mediabase and Nielsen Music Connect for company-wide distribution
• Maintain and distribute audio, visual and video assets for Regional & National staff as well as external Radio partners as well as managing assets for SiriusXM's Disney Hits Channel including receiving Legal Approval
• Book contest winner fulfilments for Regional staff promotions including park passes and Disney Resorts
• Order iPads and other prizes for Radio giveaways & ship to Radio stations on behalf of Regional staff
• Manage and book all Promo Tours for artists directly working with Radio Clients, Artist Management, Marketing Product Managers, Format VPs and Regional staff. Create master tour itinerary to be distributed to all parties. Point person for all promo tours
• Manage all Promotion department agreements working with Business Affairs, SVP of Promotion, Format VPs, Artist Management and/or Marketing Managers
• Brainstorm and research new marketing, outreach and/or promotional ideas surrounding new music releases
• Manage Ticket Buys and Department Needs for Artist Tours including VIP ticketing, Meet & Greet and after-party working directly with Tour Director
• Supervise special projects for Radio promotions across all formats
• Train and Supervise temporary personnel and new department staff, as needed
• Coordinate SVP, VPs & Regional Directors needs including, but not limited to:
• Compile verbatims
• Compile Weekly Itinerary
• Order promotional product & office supplies
• Keep track of department Vacation Calendar
• Submit park pass requests
• Organize and ship mailers
• Send physical product to Regional staff
• Book Friends & Family rates for SVP & VPs
• Submit drive-ons for SVP & VPs' guests
• Clean and organize promotional storage area
• Provide administrative support to Regionals & VPs (e.g. create interview schedule grid)
• Answer high call volume phones
• Reconcile expenses
• Book Executive travel
• Schedule calls & meetings
• Print weekly reports for binders (e.g. hotsheets, Mediabase tracking, Format Charts, etc.)
Basic Qualifications:
• At least 2 years of experience in the music industry preferably in promotion, radio or marketing
• Must have administrative experience
• Excellent organizational skills
• Great attention to detail
• Excellent communication skills
• Ability to multi-task, prioritize and meet pressing deadlines
• Always on top of trends in music and pop culture and general passion for music
Required Education
• Bachelor's Degree in Communications, Marketing, Business or Music preferred
