The ideal candidate for this position enjoys being an Executive Assistant. This person will excel if they can keep calm in a high-pressure environment while coordinating the logistics of the company's President. The candidate should have some years of experience supporting a Senior Level Executive, highlighting their capability to conduct all administrative work, ensuring the President's operations run smoothly. Thus, the candidate should be detail-oriented and a creative problem solver.
Role & Responsibilities
· Manage and maintain a heavy schedule - ensure the calendar is always up to date with meetings, schedules, and travel arrangements
· Manage voicemails and quarterback calls
· Confirm all in-person meetings and details for admittance
· Book executive travel arrangements
· Provide executive with 10-minute warnings for calls/meetings
· Dial Executive into all calls unless previously arranged
· Record, transcribe and distribute minutes of all meetings
· Prepare internal and external corporate documents for team members and industry partners; prepare visually appearing decks and presentations
· Prepare Expense reports and reimbursements
· Manage ongoing task list with reminders when appropriate
· Know the industry players and stay on top of trades
· Liaison with internal and external departments for VIP ticketing during active show production
· Some creative input on talent/acts/notes etc
· Open lines of communication- ask questions!
Qualifications
· Some years of experience supporting a Senior Level Executive is required
· Experience working in an agency is a plus
· Experience with supporting multiple high-level executives a plus
· Knowledge and interest in Film, Production, Agency, and/or Music Industry is a plus
