Company Overview:
Jack O' Lantern Journey is a production company focused on live events during the Halloween season. We handle everything from conception to installation of our custom pumpkin displays for jack o' lantern themed trails and other seasonal events. As a dynamic and fast-paced company, we thrive on creativity, collaboration, and precision.
Position Overview:
We are seeking a highly organized and proactive Production Manager/VP to oversee our studio's both day-to-day operations and long-term planning of warehouse and project management. Here's a brief summary of the key responsibilities below.
Warehouse/Shop Management:
• Oversee all warehouse/shop activities and assist with relocating the facility if needed.
• Ensure cleanliness, maintenance, and organization of the warehouse/shop.
• Manage storage systems, both physical and digital, for content and materials.
• Oversee our second shop in Florida
Staff and Scheduling:
• Lead staff, conduct morning and sub-meetings with the owner and appropriate teams.
• Support and provide necessary resources to artists/carpenters.
• Schedule weekly staff assignments for ongoing projects and ensure the provision of necessary materials and information.
• Plan out timelines for completing projects in a timely manner.
Project Management:
• Maintain and update the build list, working with the owner to determine items based on budget and creative vision.
• Oversee material ordering, quality control, and budget adherence for all projects.
• Estimate project costs using an internal system, considering upcoming projects (3-4 large and 4-6 smaller projects).
• Review pricing and over all budgeting with finance director and Owner
• Manage shipping, receiving, and the logistics of show load-ins and load-outs.
• Organize trade shows and the logistics involved, typically two per year.
Client Relations and Site Visits:
• Act as a liaison with clients as needed, supporting the owner in maintaining relationships.
• Conduct site visits to assist in technical evaluations, taking photos, measurements, and answering technical questions.
• Assess spaces, including outdoor environments, to determine layout and content placement.
Technology and Design:
• Use tools such as Google Calendar to maintain schedules.
• Oversee the collection of images for both marketing and internal use.
• Organize and update shop drawings as needed.
Computer Skills:
• Proficiency in Google Suite (Sheets, Docs, Drive, Maps, etc) is essential and a must-have for managing day-to-day tasks and collaboration.
• Excellent computer skills are required, with proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint), and project management tools (Trello, Asana, or similar).
• Proficiency in Adobe Suite (Photoshop, InDesign, Acrobat), CRM Systems (Pipedrive), and CAD (optional) to plan individual scenes and assist with load-ins is also preferred.
Qualifications:
• Bachelor's degree in Manufacturing, Business Administration, Communications or related field.
• 3-5 years of proven experience in production management, live events, and/or holiday shows.
• Must have experience in creating installations/displays for live events, managing a crew of artists in a scenic shop, and in warehouse logistics.
• Scenic shop experience or equivalent art experience to help coordinate and run our scenic shop.
• Strong analytical skills for supply chain analytics & logistics.
• Knowledge of quality control processes and continuous improvement methodologies.
• Experience with location scouting.
• Experience dealing with business vendors and clients.
• Excellent communication and leadership skills for managing shop operations.
• Willingness to travel required.

Job Type: Full-time
Salary: $35 - $40 per hour (potential profit sharing available)
Schedule: Monday to Friday (some weekend hours required during fall season)
